Role Description The HR and Administrative Associate is a full-time hybrid role based in Kathmandu, with some work-from-home flexibility. This role is responsible for supporting day-to-day HR operations, including maintaining employee records, assisting with recruitment processes, onboarding new team members, and coordinating training and development activities. The associate will handle routine administrative tasks such as document management, scheduling, correspondence, and coordinating meetings to ensure smooth hospital operations. They will support communication between management and staff, help implement HR policies and procedures, and assist in addressing employee queries. The role requires close collaboration with clinical and non-clinical teams to maintain an organized, compliant, and supportive work environment.
Qualifications
The HR & Admin Assistant will support day-to-day HR and administrative activities, maintain employee and company records, perform Nepali and English typing, and coordinate with various government offices for company-related renewals, submissions, registrations, and other official administrative matters.
Key Responsibilities
Assist in day-to-day HR and administrative activities and provide necessary support to the HR & Admin Department.
Maintain and update employee records, attendance, leave, personal files, and other HR-related documents in both physical and digital formats.
Prepare, type, print, scan, photocopy, file, and organize official documents and correspondence.
Perform Nepali and English typing and prepare letters, applications, notices, forms, reports, and other official documents as required.
Visit and coordinate with different government offices, municipalities, departments, and regulatory authorities for company-related submissions, renewals, registrations, approvals, follow-ups, and collection of documents.
Handle timely renewal of company licenses, registrations, certificates, permits, and other official documents at relevant government offices.
Follow up on pending applications, renewals, approvals, and other administrative matters and report the status to the concerned supervisor.
Maintain proper records of government office visits, submissions, receipts, renewal dates, and related documents.
Assist in preparing documents required for government inspections, audits, registrations, and regulatory compliance.
Coordinate with internal departments to collect required information and documents for official submissions and renewals.
Maintain confidentiality of employee, company, and official documents.
Perform outdoor administrative duties and other HR/Admin responsibilities assigned by the supervisor.
Required Qualifications & Skills
Minimum Bachelor’s degree in Management, Business Administration, Human Resources, or a related field preferred.
Good knowledge of Nepali and English typing.
Good working knowledge of MS Word, Excel, email, and basic office applications.
Good communication, coordination, documentation, and follow-up skills.
Ability to work independently and manage multiple administrative tasks.
Familiarity with government offices and administrative procedures will be an advantage.
Valid two-wheeler/motorcycle driving licence is compulsory.
Own/regular access to a motorcycle is preferred/required for official outdoor duties.
Willingness to travel to different government offices as required.
Honest, responsible, punctual, organized, and professional in handling official documents and government-related work.
- Prior experience in HR or administrative roles, preferably in healthcare or service-oriented organizations.
- Proficiency in basic office software (e.g., word processing, spreadsheets) and comfort with digital record-keeping tools.
- Strong organizational skills, attention to detail, and the ability to handle multiple tasks and deadlines.
