Job Description: As an Administrative Assistant at Blakely Walters, you will play a key role in ensuring the smooth operation of the office by providing administrative support to our wealth management team. The ideal candidate is a highly organized, detail-oriented professional with a passion for providing excellent client service and supporting the firm’s day-to-day operations.
Key Responsibilities:
Provide administrative support to wealth management professionals.
Prepare and organize client documentation, reports, and presentations.
Maintain accurate and up-to-date client files and records.
Answer phone calls, take messages, and direct inquiries to the appropriate team members.
Assist with data entry, document preparation, and other office-related tasks as needed.
Support the team in preparing for client meetings and ensure all necessary materials are ready.
Coordinate and track the progress of various administrative projects.
Maintain office supplies and equipment, ensuring everything is well-stocked and functioning.
Qualifications:
Previous administrative or office support experience, preferably in the financial or wealth management industry.
Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.
Excellent written and verbal communication skills.
Proficiency in RedTail, Zoom, DocuSign, Microsoft Office Suite (Word, Excel, Outlook).
Extremely detail-oriented with a high degree of accuracy in work.
Strong interpersonal skills and ability to work well in a team environment.
Ability to maintain confidentiality and handle sensitive information with professionalism.
High school diploma or equivalent.
