We are looking for a detail-oriented Administrative Assistant to support daily office operations in Santa Barbara, California. This Long-term Contract position is ideal for someone who enjoys keeping schedules organized, communicating professionally, and handling a variety of administrative tasks with accuracy. The successful candidate will help maintain efficient workflows by coordinating appointments, managing correspondence, and providing responsive support to internal and external contacts.

Responsibilities:
• Manage calendars and arrange meetings, appointments, and other scheduled activities to keep priorities on track.
• Respond to incoming phone calls and emails with professionalism, providing timely assistance and directing inquiries appropriately.
• Perform accurate data entry and maintain organized records, documents, and administrative files.
• Prepare, format, and update business documents, spreadsheets, presentations, and correspondence using Microsoft Office applications.
• Support day-to-day office coordination by handling routine administrative requests and ensuring smooth communication across teams.
• Conduct outbound calls when needed to confirm appointments, gather information, or follow up on pending matters.
• Monitor email traffic and help prioritize messages, action items, and scheduling needs.
• Assist with general customer service inquiries by offering clear information and escalating issues when necessary.
• Previous experience in an administrative, office support, or customer-facing role.
• Strong verbal and written communication skills, including clear and courteous phone and email etiquette.
• Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
• Ability to manage multiple tasks, stay organized, and meet deadlines in a fast-paced environment.
• Accurate data entry skills with strong attention to detail.
• Comfortable handling both inbound and outbound calls as part of daily responsibilities.
• Experience scheduling appointments and maintaining calendars efficiently.
