The team is built around a culture of ownership, warmth, and operational excellence, and they are seeking an Administrative Assistant who aligns with that standard. This individual will serve as the first point of contact for the firm and play a key role in ensuring a seamless, professional, and welcoming client experience. In addition, this role provides critical administrative support to advisors and the client experience team, helping ensure daily operations run smoothly and efficiently.
The ideal candidate is someone who naturally anticipates needs, follows through without reminders, and takes pride in creating order, consistency, and an elevated client experience in everything they do.
Location is onsite in Mullica Hill, NJ (right outside of Philly)
Responsibilities
- Answer and direct incoming calls in a professional, warm, and client-focused manner
- Greet clients upon arrival and ensure a welcoming, comfortable in-office experience
- Maintain a clean, organized, and polished office environment, including reception and conference areas
- Manage daily administrative tasks, ensuring timely follow-up and completion of open items
- Coordinate calendars and schedule meetings for advisors and clients with accuracy and attention to detail
- Process incoming/outgoing mail, scan and organize documents, and support client paperwork workflows
- Assist in preparing client documents and forms in accordance with established procedures
- Provide general administrative support across the team as needed in a collaborative environment
Requirements
- High school diploma or equivalent required
- Minimum of 3 years of administrative or office support experience
- Financial services experience is a plus but not required
- Strong proficiency with Microsoft Office (Outlook, Teams, Word, Excel)
- Comfortable learning and adapting to new technology platforms

Additional Details
- Full-time, in-office position (Monday–Friday, standard business hours)
- Paid time off available following introductory period (15 days annually)
- Role reports to the Client Experience leadership team
