We are seeking an organized, detail-oriented, and efficient Administrative Assistant to join our team at All American Facility Services, a leading provider of window and gutter cleaning services. In this role, you will provide administrative support to ensure smooth daily operations and assist in scheduling, customer communications, and office management.
Key Responsibilities:
1. Customer Service & Communication:
– Answer and direct phone calls, emails, and online inquiries.
– Schedule appointments for window and gutter cleaning services.
– Handle customer inquiries, complaints, and feedback in a professional and courteous manner.
– Provide information about services, pricing, and promotions to clients.
2. Scheduling & Dispatching:
– Manage daily schedules for technicians and ensure efficient route planning.
– Coordinate with field staff to ensure timely service delivery.
– Confirm appointments with customers and send reminders as necessary.
3. Billing & Invoicing:
– Prepare and send invoices to clients after services are completed.
– Track payments and assist with billing inquiries.
– Manage accounts receivable and follow up on overdue payments.
4. Office Administration:
– Maintain accurate records of customer details, appointments, and service history.
– Assist with data entry, filing, and organizing customer documents.
– Order and maintain office supplies and equipment.
– Support the office manager with any additional administrative tasks as required.
5. Marketing Support:
– Assist with customer follow-up emails and surveys.
– Help maintain and update social media or online presence.
– Assist in creating and distributing promotional materials.
Qualifications:
– High school diploma or equivalent (Associate’s degree or relevant certifications is a plus).
– Previous experience in an administrative or customer service role preferred, especially in the service industry.
– Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
– Strong verbal and written communication skills.
– Ability to multitask and prioritize in a fast-paced environment.
– Attention to detail and excellent organizational skills.
– Comfortable working with customer relationship management (CRM) software or the willingness to learn.
– Basic knowledge of billing and invoicing procedures is a plus.
Physical Requirements:
– Ability to sit or stand for extended periods.
– Occasional lifting of office supplies or equipment (up to 20 lbs).
