Full Job Description
POSITION: Administrative Assistant
HOURS: Monday – Friday, 8:00am – 5:00pm (Extended hours as needed)
IMMEDIATE SUPERVISOR: Director of Operations
POSITION SUMMARY:
This position will perform a variety of clerical and a high level of administrative support to ensure efficient office operations. Position requires detail-orientation, strong organizational skills, the ability to multitask, and maintain excellent self-monitored time management. Position requires a ‘can-do’ attitude and eagerness to take on duties as assigned.
Essential Functions:
Open, sort, and distribute both incoming and outgoing correspondence.
Answer and direct incoming phone calls, filter for messages as applicable.
Greet visitors, and permittees in-office, and assist with questions/accepting payments
File and retrieve corporate documents, records, and reports.
Interact and coordinate with internal and external leaders and other staff, as needed.
Prepare agendas and make arrangements for Board of Directors meetings and assist in the planning and preparation of other meetings and conferences.
Prepare monthly board meeting packets
Provide word processing and secretarial support to Management
Run errands for management as needed.
Assist with mobile lab, out of office events, social media and presentations.
Support general staff as needed, or as applicable
Complete projects and special assignments by establishing objectives, determining priorities, managing time, monitoring progress, problem-solving, and adjusting plans
Regularly communicate with water well drillers, water suppliers, municipalities and other users who are required to file applications and secure permits from the District.
Become well versed with the Rules of the District and of the permitting process to assist the public with any questions.
Secondary Duties:
Complete special projects as requested by Director of Operations, Education and Outreach Coordinator and General Manager.
Other duties as assigned.
POSITION REQUIREMENTS:
Required Education:
Associate’s degree preferred, but not required. Degree can be supplemented with administrative experience in equivalent role.
Required Knowledge, Skills, and Abilities:
Superior oral and written communication skills, organizational skills, research skills, and customer service skills;
Must have strong computer skills including word-processing, Adobe, and Excel;
Ability to meet multiple deadlines;
Must have experience with data entry and a minimum of 50 wpm typing;
Able to lift minimum of 25 pounds (when necessary); and
Must have a personable nature and ability to work under various job-related pressures and deadlines, in a team environment with a positive attitude.
Preferred Knowledge, Skills, and Abilities:
Special consideration will be given to experience in a similar role or government agency;
Knowledge of local geology, environmental concerns, public policy, and local ordinance and policies.
High communication skills with clientele and exhibit strong professionalism.
