We're seeking a proactive and organised Administrative Assistant to join a busy Business Support Solutions team based in Melbourne CBD. Working as part of a collaborative team, you'll provide day-to-day administrative support, coordinate office activities, and assist with reporting and operational tasks that help keep the business running smoothly. About the Role

As an Administrative Assistant, you'll be a key member of the Business Support Solutions team, providing administrative and coordination support to the Melbourne CBD office. Working alongside a team of experienced administrators, you'll assist with meeting coordination, event planning, reporting activities, visitor management, and general office administration while ensuring a high level of service is delivered across the business.

Key Responsibilities

  • Coordinate catering requirements through approved vendors.
  • Assist with the organisation of events, training sessions, workshops, and team meetings.
  • Schedule meetings and manage meeting room bookings.
  • Arrange visitor access and site entry requirements.
  • Provide support with printing, document preparation, and administrative documentation.
  • Process invoices and company purchase card transactions.
  • Assist with reporting and data analysis activities as required.
  • Perform general data entry and administrative support duties.
  • Maintain accurate records and support office coordination activities.
  • Provide responsive customer service to internal stakeholders.

About You

To be successful in this role, you'll bring:

  • 1–5 years of experience in an administrative or similar support role.
  • A sound understanding of general administrative processes and office procedures.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • A proactive approach with the ability to work independently and within a team environment.
  • High attention to detail and accuracy.
  • A strong work ethic, reliability, and positive attitude.
