Position Overview

As the Administrative Assistant, you’ll provide critical operational and administrative support across multiple business functions, helping ensure the organization runs efficiently. This role works closely with leadership to support operations, employee onboarding, documentation, finance administration, and marketing initiatives while maintaining the systems and processes that keep the business running smoothly.

What You’ll Do

  • Support the Operations Coordinator with day-to-day administrative activities and special projects.
  • Review client contracts and purchase orders for administrative, financial, and operational accuracy.
  • Maintain organized document management systems, records, and filing processes.
  • Prepare, edit, and distribute reports, presentations, and internal documentation.
  • Coordinate travel arrangements, itineraries, and expense reporting.
  • Manage office supplies, vendor relationships, purchasing activities, and inventory.
  • Assist with documenting operational procedures, workflows, and process improvements.
  • Maintain operational systems, perform data entry, ensure data accuracy, and identify discrepancies.
  • Coordinate employee onboarding, orientation, certifications, training documentation, and renewal tracking.
  • Support operational reporting and business metrics.
  • Coordinate internal meetings, customer meetings, trade shows, company events, and marketing initiatives.
  • Maintain company marketing materials and collateral.
  • Provide administrative support for Accounts Payable and Accounts Receivable functions.
  • Assist with budgeting and expense tracking.
  • Monitor project deadlines and operational milestones, providing proactive reminders when needed.
  • Coordinate internal resources and scheduling for company initiatives and cross-functional projects.

What We’re Looking For

  • Associate’s degree in Business Administration, Management, Finance, or a related field (or equivalent professional experience).
  • 1–3 years of experience in an administrative, operations, office management, or project coordination role.
  • Strong proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
  • Experience with SharePoint is a plus.
  • Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and analytical thinking.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Collaborative, team-oriented mindset with the ability to work independently when needed.
  • A proactive, solution-oriented approach and willingness to take initiative.

Additional Information

  • This position is onsite in Braintree, Massachusetts.
  • Occasional domestic travel (less than 10%) may be required for customer meetings, trade shows, or company events.
  • This position begins as part-time, with the opportunity to transition into a full-time role based on business needs and individual performance.
