Description
Are you an organized, professional administrative professional who thrives in a fast-paced environment? Our client is seeking a Security / Administrative Assistant to support front-office operations while assisting with facility security, visitor management, and executive administrative functions. This is an excellent opportunity for someone who enjoys wearing multiple hats, maintaining a highly organized workplace, and contributing to a secure and professional office environment.
In this role, you’ll work closely with the Facility Security Officer (FSO), Senior Leadership, and cross-functional teams to support day-to-day operations, security compliance, and administrative initiatives.
Key Responsibilities
Welcome visitors and provide a professional front desk experience.
Manage visitor requests, maintain visitor logs, and issue visitor badges.
Operate and manage the company’s phone system using Microsoft Teams.
Monitor facility security cameras using the Avigilon security system.
Assist the Facility Security Officer (FSO) with daily security and operational procedures.
Support internal security self-inspections and DCSA Security Vulnerability Assessments.
Develop a working knowledge of NISPOM and 32 CFR security requirements.
Provide administrative support to Senior Leadership, including coordinating meetings and off-site events.
Maintain important business documentation, including:
Phone logs
Strategic action trackers
Spider charts
Senior Staff meeting calendars
Additional operational records
Assist with general office administration and special projects as needed.
Perform additional administrative duties to support business operations.
Qualifications
U.S. Citizenship required.
Ability to obtain and maintain a Secret Security Clearance, if required.
Minimum of 2 years of administrative, office support, or related experience.
Excellent organizational skills with exceptional attention to detail.
Strong written and verbal communication skills.
Ability to prioritize multiple responsibilities in a fast-paced environment.
Collaborative mindset with the ability to work across departments.
Self-motivated problem solver who takes initiative.
Proficiency with Microsoft Office Suite.
Ability to maintain confidentiality and follow established policies and procedures.
Fluent in English, both written and verbal.
Willingness to complete Facility Security Officer (FSO) training as required.
