Overview

Join a reputable international bank in Hong Kong as an Administrative Assistant, providing comprehensive secretarial, office administration and reception support to the Chief Executive, Global Banking team and back‑office functions. This role is ideal for an organised, people‑oriented administrator who enjoys managing calendars and travel, coordinating events, and ensuring the smooth day‑to‑day running of a corporate office environment.

Key Responsibilities

  • Provide full spectrum secretarial and administrative support to senior management and business/support teams, including document preparation, meeting coordination and routine correspondence.
  • Manage complex calendars and end‑to‑end travel arrangements (flights, accommodation, itineraries) and handle expenses reimbursement in a timely and accurate manner.
  • Plan and organise internal culture and client events, including team activities, client functions and bank‑wide gatherings such as monthly lunches, festive celebrations and CSR events.
  • Oversee general office administration, including cleaning services, plant care, routine maintenance (e.g. carpets, water tanks), procurement of office supplies and coordination with vendors and service providers.
  • Support front‑of‑house duties by greeting guests, managing visitor registration, answering the main line professionally, coordinating conference‑room bookings and ensuring meeting spaces are tidy and well‑maintained.
  • Handle courier and mail services, act as a central point of contact for internal and external stakeholders to ensure effective information flow, and assist the Head of Human Resources & Corporate Services with ad‑hoc tasks as required.

Requirements

  • Bachelor’s degree in Business Administration or a related discipline.
  • Minimum 2–3 years of relevant administrative or office support experience, preferably gained in banking or financial services.
  • Good written and spoken English and fluent spoken Chinese, with confident, professional communication skills when dealing with colleagues, management and visitors.
  • Strong organisational and time‑management skills, able to prioritise, multi‑task and work independently while maintaining high attention to detail.
  • Positive, flexible and proactive team player with a “can‑do” attitude, strong interpersonal skills and a genuine willingness to learn and support different teams.
  • Proficient in MS Office (Word, Excel, PowerPoint and Outlook); possession of HKIB professional qualifications (e.g. ECF/CB) is a definite advantage.
