About the Role

The Administrative Assistant IV provides high-level administrative and operational support to senior leaders within a global enterprise sales organization. This role is responsible for complex calendar management, travel coordination, expense reporting, meeting planning, and executive support while ensuring the efficient operation of a virtual, worldwide team. The ideal candidate is highly organized, proactive, and experienced in supporting senior executives within a fast-paced technology environment.

Location: Seattle, Washington, United States (Primarily Remote)

Responsibilities

Executive Calendar & Schedule Management

  • Manage complex executive calendars across multiple time zones.
  • Coordinate meetings while aligning schedules with business priorities.
  • Resolve scheduling conflicts and optimize executive availability.
  • Maintain accurate calendars and meeting logistics.
  • Coordinate recurring meetings and executive commitments.
  • Ensure seamless scheduling for internal and external stakeholders.

Executive Administrative Support

  • Provide comprehensive administrative support to senior executives.
  • Prepare and distribute executive correspondence and documentation.
  • Maintain confidential records and sensitive business information.
  • Manage incoming reports, memos, and executive communications.
  • Order office supplies and maintain administrative records.
  • Support day-to-day executive operations and business administration.

Travel & Expense Management

  • Coordinate domestic and international travel arrangements.
  • Book flights, accommodations, transportation, and travel logistics.
  • Assist with visa documentation and travel requirements.
  • Prepare, submit, and manage executive expense reports.
  • Review invoices, financial statements, and reimbursement documentation.
  • Adapt travel plans quickly to accommodate schedule changes.

Meeting & Event Coordination

  • Organize executive meetings, conference calls, and virtual meetings.
  • Prepare meeting agendas and supporting materials.
  • Coordinate video conferences and collaboration sessions.
  • Support planning of off-site meetings and corporate events.
  • Arrange meeting logistics, catering, and venue coordination.
  • Ensure successful execution of executive meetings and business events.

Business Operations & Collaboration

  • Collaborate with senior leadership and cross-functional teams.
  • Build strong relationships with internal and external stakeholders.
  • Support business operations through effective administrative processes.
  • Manage multiple priorities while meeting strict deadlines.
  • Identify opportunities to improve administrative workflows.
  • Maintain exceptional customer service and professional communication standards.

Requirements

Required Qualifications

  • High school diploma or GED.
  • Eight to ten years of experience in administrative or executive administrative roles.
  • Experience supporting senior executives within large enterprise organizations.
  • Advanced calendar management and executive scheduling experience.
  • Strong experience with expense reporting and business administration.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Advanced Microsoft Excel skills, including PivotTables and VLOOKUP functions.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • High attention to detail and accuracy.
  • Ability to work independently while managing multiple priorities.
  • Ability to maintain confidentiality and handle sensitive information professionally.

Preferred Qualifications

  • Experience supporting Microsoft executives or similar enterprise leadership teams.
  • Familiarity with Microsoft internal tools and business processes.
  • Experience planning corporate events and off-site meetings.
  • Strong problem-solving and decision-making abilities.
  • Experience working within global or virtual organizations.
