Administrative Coordinator (8117)
Responsibilities:
The Administrative Coordinator will be responsible for the following key tasks:
Front Desk Management
Serve as the first point of contact for visitors and clients, ensuring a welcoming atmosphere.
Handle conference room coordination and provide hospitality services, such as refreshments.
Manage the firm’s VOIP communication system, demonstrating a professional and polished phone presence.
Office Organization & Maintenance
Organize and maintain office cleanliness, including the kitchen area (coffee station, supplies, and cleaning).
Handle inventory management and place orders for office supplies as needed.
Scheduling & Communication
Organize and schedule appointments and events using Outlook 365 and other calendar systems.
Maintain physical and digital filing systems for documents, including scanning and archiving.
Distribute daily mail and shipments and maintain the flow of correspondence.
Send out a weekly calendar summary on Monday mornings to update the team on upcoming events and visitors.
Employee Engagement & Other Administrative Tasks
Lead efforts as part of the Employee Engagement Committee, contributing to team-building initiatives.
Maintain an active Notary license and perform related duties.
Assist with bulk mailings and special requests for correspondence.
Take on any other administrative tasks or enterprise projects as assigned.
Qualifications:
The ideal candidate will have:
Experience
A minimum of 3 years of experience in a receptionist, front-desk, or administrative coordinator role.
Skills & Competencies
Strong communication skills, both written and verbal, with a professional presentation and high emotional intelligence.
Experience in office administration and front-desk roles, with a proven ability to work independently and as part of a team.
A problem-solving mindset, with the ability to handle multiple tasks efficiently.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and cloud applications like OneDrive and SharePoint.
Familiarity with VOIP phone systems or the ability to learn quickly.
Personal Traits

Reliable, punctual, and accurate in task completion.
