Job Summary
We are seeking a highly organized and proactive Administrative Coordinator to support our team in various administrative tasks. The ideal candidate will possess strong communication skills and a keen attention to detail, ensuring that our office runs smoothly and efficiently. This role is pivotal in providing excellent customer service and maintaining effective office management practices.

Responsibilities

Assists the Clinical Director of Spectrum C.C.C. with all administrative duties as assigned.

Handles all secretarial functions of the Clinical Director of Spectrum C.C.C.

Operates office equipment, such as: computer, typewriter, calculator, copy machine and fax machine.

Prepares, maintains and requests office supplies/forms.

Maintains all facility records, logs and filing (ensuring they are kept up to date).

Maintains inmate arrival and release log and prepares inmate arrival and release paperwork.

Maintains facility’s population boards and ensures populations are called in to the appropriate personnel on a daily basis.

Assists the Facility Supervisor with any necessary functions, with approval and/or knowledge of the Director.

Act as a back-up as a Corrections Aide when the need arises.

Ensures weekly subsistence collection is collected from the safe, totaled, logged and forward to the Business Office.

Maintains population lists and other lists with regards to inmate driving, caseload lists, etc.

Maintains bus voucher paperwork, requests bus vouchers when needed and retrieves them at the Miami-Dade Transit Office.

Prepares and updates staff time sheets.

Processes and distributes referral information received from the F.B.O.P. to appropriate agencies.

Executes and distributes arrival paperwork.

Provides clerical support and assistance to the Case Managers.

EDUCATION AND/OR EXPERIENCE: Graduation from high school or G.E.D. equivalency and two (2) years of general secretarial or related clerical office work experience; or, any combination of post high school education and general clerical, secretarial or related office work experience totaling two (2) years.

Experience

Strong computer literacy with proficiency in Google Suite and other office software applications.

Excellent organizational skills with the ability to manage multiple tasks simultaneously.

Bilingual candidates are highly desirable to enhance communication with diverse clients.

Previous experience in customer service or office management is a plus.
