About the Role
True Neighbor is looking for a dependable, resourceful, and exceptionally organized Administrative Coordinator to help keep our office and day-to-day business operations running smoothly.
This is a hands-on position with a wide variety of responsibilities. One moment you may be processing an invoice or coordinating utilities for a property, and the next you may be preparing a meeting agenda, ordering office supplies, organizing documents, or helping a member of the leadership team.
We’re looking for someone who enjoys being the person everyone can count on to get things done—and get them done correctly.
What You’ll Do
Administrative Coordinator
- Monitor company accounting and contracting email accounts
- Receive, organize, and maintain estimates, invoices, receipts, and supporting documentation
- Track invoice due dates and process approved payments
- Maintain accurate electronic records and property documentation
- Update property budgets with approved estimates, invoices, and expenses
- Coordinate rehab expense tracking with Project Managers
- Request and track lien waivers from contractors and vendors
- Assist with construction draw requests to lending partners
- Maintain check registers and expense schedules as needed
- Assist with accounts payable and other basic bookkeeping activities
- Support implementation and use of company financial systems and reporting
Property Administration
- Start and stop utilities for company-owned properties
- Receive, organize, track, and pay utility bills
- Maintain utility schedules and records
- Add and remove properties from company insurance policies
- Coordinate insurance payments, cancellations, and refunds
- Maintain accurate property insurance and utility documentation
- Work closely with the Transaction Coordinator and Project Managers to ensure property-related administrative tasks are completed on time
Office & Administrative Support
- Answer and route incoming phone calls
- Monitor and respond to general company communications
- Provide administrative support to company leadership and team members
- Assist with calendars, scheduling, and meetings
- Prepare the weekly team meeting agenda
- Purchase and maintain office and kitchen supplies
- Coordinate occasional Costco/Amazon orders
- Handle outgoing mail, shipping, and document distribution
- Manage direct-mail removal requests
- Assist with document preparation, editing, filing, printing, and organization
- Assist with travel arrangements, presentations, and special projects as needed
- Help ensure office common areas remain organized and well-stocked
What We’re Looking For
- 2–4 years of administrative, accounting support, office coordination, or similar experience preferred
- High school diploma required; associate degree or additional relevant education preferred
- Strong organizational skills and exceptional attention to detail
- Comfortable working with invoices, payments, spreadsheets, and financial information
- Strong Microsoft Excel, Word, Outlook, and general computer skills
- Ability to learn new systems quickly
- Excellent written and verbal communication
- Strong time-management skills and ability to manage competing priorities
- Resourceful—you’ll try to figure something out before immediately handing it off to someone else
- Dependable with strong follow-through
- Comfortable working independently while also being part of a small, collaborative team
- Positive, professional, and willing to help wherever needed
What Success Looks Like
Bills and invoices don’t get lost. Payments happen when they’re supposed to. Property records are accurate and organized. Utilities and insurance are handled on time. The office has what it needs. Team members get responsive administrative support. And leadership can confidently hand something off knowing it will be followed through to completion.

Pay: $24.00 – $29.00 per hour
