Job Title: Administrative Coordinator

Reports to: Business Finance Manager

Location: 1501 S. 7th Street, Conroe, TX 77301

Position Summary

The Office Coordinator serves as the primary administrative support anchor for Habitat for Humanity of Montgomery County. Serving as the organization’s front-office ambassador, this position manages daily office operations, provides a welcoming experience for all visitors, and delivers cross-departmental administrative backing across Executive Leadership, Family Services, Finance, Development, and Volunteer Programs.

Essential Functions & Responsibilities

1. Front Office & Operations Management

· Reception & Hospitality: Serve as primary front-desk ambassador—greeting visitors, donors, volunteers, applicants, and community partners with professionalism and compassion.

· Communications: Answer and route incoming calls, monitor central email inboxes, distribute incoming/outgoing mail, and coordinate courier/overnight shipments.

· Office Maintenance: Manage office supply inventories, coordinate maintenance/service calls for equipment (copiers, postage machines), keep reception and common areas professional, and assist with workspace readiness/onboarding logistics.

2. Family Services & Program Administration

· Application Intake: Receive, log, and conduct initial completeness reviews for homeownership and home repair applications against established checklists.

· Document Verification: Assist Family Services staff by organizing applicant files, gathering missing documentation, and verifying income, residency, and identification records.

· Note: Final eligibility, underwriting, and selection decisions remain exclusively with authorized Family Services and leadership personnel.

3. Executive & Board Administration

· Executive Support: Manage calendars, travel, and scheduling for the Executive Director and Leadership Team; prepare routine reports, presentations, and correspondence.

· Board Operations: Coordinate Board of Directors and committee meetings (scheduling, agenda distribution, meeting packets, minutes, and record keeping for policies and rosters).

4. Business & Finance Support

· Records & Invoices: Organize, scan, and route invoices, credit card receipts, purchase orders, and expense reports; maintain electronic/paper vendor files.

· Vendor Compliance: Assist with collecting W-9s, ACH forms, and required vendor documentation for month-end processing.

· Note: Position provides administrative/data entry support only; does not approve invoices, authorize payments, or perform duties compromising internal financial controls.

5. Development, Gala & Event Support

· Donor Stewardship: Process gifts in the donor database (Bloomerang preferred), generate timely thank-you letters, and update donor records.

· Event Logistics: Provide administrative assistance for the annual Building Hope Gala and organizational events (tracking sponsorships, guest registration, committee scheduling, and auction prep).

Knowledge, Skills & Abilities

· Outstanding interpersonal, verbal, and written communication skills with a customer-service mindset.

· Exceptional organizational skills with proven ability to prioritize tasks and meet deadlines.

· Absolute discretion when handling confidential donor, applicant, homeowner, and financial information.

· Proficiency in Microsoft Office 365; experience with donor CRMs (Bloomerang) is a plus.

· Strong alignment with Habitat for Humanity’s mission and values.

Preferred Qualifications

· Associate’s or Bachelor’s degree in Business Administration or a related field.

· 3+ years of progressive administrative experience (nonprofit sector preferred).

Work Environment & Physical Demands

· Schedule: Standard office hours (Monday–Friday, 8:30 AM – 4:30 PM). Occasional early mornings, evenings, or weekends required for board meetings or special events.

· Physical Requirements: Desk-based work requiring standard sitting, walking, and file retrieval. Must be able to occasionally lift/move up to 40 lbs for event setup and office deliveries. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
