Position Description
ADMINISTRATIVE DIRECTOR
The Administrative Director is a key position in the management structure of the Trillium House team, ensuring seamless and high quality daily operations, fostering a compassionate environment and supporting residents, families, staff, volunteers and the broader community. This role requires strong organizational skills, high emotional intelligence, discretion and a compassionate demeanor, as well as the capacity to work independently, make sound decisions and communicate/collaborate effectively. This position reports to the Executive Director.
RESPONSIBILITIES:
- Creates a high performing, compassionate and positive team culture.
- Identifies, understands, communicates and represents to the team the differing aspects of working in a non-profit environment, acting as a role model for stewardship of resources.
- Writing checks, communicating expenses to the accountant and ensuring all bills and other statements are paid in a timely manner.
- Assists Executive Director in preparation and tracking of annual operating budget.
- Assists Executive Director with community engagement activities as requested.
- Maintains routine Trillium House operations and office functions for an effective and efficient operation of the organization.
- Ensure programs and services offered by Trillium House contribute to the mission, are consistent with the strategic directions and reflect board priorities.
- Oversee the planning, implementation and evaluation of Trillium House programs and services and ensure compliance with regulatory requirements.
- Keeping Trillium House in adherence to regulatory requirements, meeting and exceeding LARA expectations.
- Oversight of, with guidance and direction from the Trillium House Board, policies and procedures – in compliance with regulatory requirements including generating new policies and procedures as well as updating outdated existing policies and procedures.
- Prepares agendas and related material packets for board meetings and committee meetings and distributes to the appropriate people.
- Maintaining building, maintenance, and repair of Trillium House, and equipment, ensuring compliance.
- Manage volunteer coordinator and volunteers in coordination with the House Manager.
- Maintains Trillium House staff personnel records in accordance with policy, state, and federal regulations.
- Obtains and maintains paperwork and documentation for new employees, including background checks and fingerprinting as well as the enrollment and management of benefits for full-time employees.
- Obtains all paperwork and documentation for terminated employees.
- Payroll.
- Hire, supervise and evaluate qualified and engaged Administrative Assistant and the House Manager.
- Other duties as assigned by the Executive Director.
QUALIFICATIONS:
- Demonstrates capacity for high emotional intelligence.
- Two years of experience in office management position with staff supervision responsibility preferred as well as experience with working with a geriatric population..
- Understands and willingness to work within a 24-7, on-call care environment which will require, at times, working outside of normal business hours.
- Ability to maintain confidentiality of employees, volunteers, residents, and families in accordance with Trillium House policies and procedures and HIPPA regulations.
- Excellent written and oral communication skills.
- Competence in use of standard office equipment and technology, including computers (word processing, databases, payroll and financial statements, email), and the use of phone, copy and fax machines Ability to assist and instruct others in basic use of this equipment.
- Visual/hearing ability sufficient to comprehend written / verbal communications.
- Ability to perform tasks involving physical activity which may include lifting, bending, and standing.
- Working knowledge of hospice philosophy and principles or willingness and ability to learn..
- Must have reliable transportation and a valid driver’s license.
PHYSICAL REQUIREMENTS:
- Requires the ability to perform body mechanics.
- Requires occasional climbing and crawling, occasional sitting and frequent balancing, bending, stooping and continuous reading, standing, and walking.
- Requires lifting and/or pushing, pulling or carrying objects weighing more than 50 pounds occasionally, frequently of objects weighing 10-20 pounds, and continuously of objects 1 -10 pounds.
- Manual dexterity and mobility
- Sensory perceptions, able to hear speech and sounds, able to be at near vision acuity level, able to detect odors and able to speak fluent English.
- Prolonged periods sitting at a desk and working on a computer.
Pay: From $51,000.00 per year
