Overview of the Role
The Administration Department provides essential administrative and logistical support to program activities. The Administrative Officer supports the Chief of Party in planning, coordinating, and implementing administrative services to ensure the effective and efficient delivery of project activities.
Responsibilities
1. Planning
* Coordinating travel, both locally and nationally, for staff attending orientations and meetings, which includes arranging accommodation and transport.
* Attending meetings of the program and operations departments in order to timely capture changes in scheduled activities.
* Managing the schedules and logistics for guests and clients of RTCM.
2. Compliance
* Collecting signatures for attendance at RTCM-sponsored events.
* Following up on items that need liquidation, processing requests and reimbursable invoices for all project-related activities.
* Preparing and updating all projects’ staff airtime lists, ensuring staff receive their airtime timely.
* Coordinating between departments and operating units in resolving day-to-day administrative and operational problems as assigned.
* Monitoring, stocking and ordering supplies for all RTCM Office Stores, e.g. stationery, copy toner, etc.
3. General Administration
* Preparing documents, reports, memos, letters and forms if and when required.
* Providing coverage in the absence of co-workers in the team.
* Performing other duties as assigned.
Qualifications
- An advanced diploma in Business & Administration.
- At least 4 years of working experience in a similar role.
- Computer literate, in particular MS Office.
- Proven ability to handle confidential information.
- Capability to process a high workload.
- Proven ability to apply good organization skills.
- Experience with HIV/AIDS prevention, care and support is desired.
