The Administrative Staff is responsible for providing front-line administrative and logistical support involving the issuance and monitoring of office supplies, business tools, and uniforms; manning the reception area; and overseeing the pull-out and drop-off zone for deliveries and collections. The role supports smooth office operations through timely coordination, documentation, and professional internal service delivery.

JOB RESPONSIBILITIES

  • Monitors stock levels of office supplies, cleaning materials, pantry items, and other consumables.
  • Receives and processes supply requests from departments, issues items with proper documentation.
  • Facilitates the issuance of company business tools such as laptops, , mobile devices, keys, uniforms (if applicable) and SIM cards to employees.
  • Tracks issued assets per employee; assists in retrieval during resignations or reassignment.
  • Receives and welcomes visitors, applicants, and vendors in a courteous and professional manner.
  • Manages incoming calls and directs inquiries to the appropriate department.
  • Monitors inbound and outbound movement of items in the pull-out and drop-off area (e.g., deliveries, inter-branch items, returns).
  • Ensures proper documentation and tagging of all packages and equipment.
  • Prepares, encodes, and files records related to item issuance, returns, and inventory.
  • Coordinates with Purchasing, HR, IT, and Admin teams for tool requisitions, employee onboarding, and clearance.

QUALIFICATIONS

  • College Level or Vocational Graduate
  • At least one (1) year of administrative, inventory, or customer-facing experience preferred
  • Basic knowledge of inventory or asset tracking
  • Good communication and interpersonal skills
  • Proficiency in MS Office and Google applications
  • High attention to detail and reliability
  • Professional appearance and customer-oriented attitude

WORKING CONDITIONS

  • Full Time and On-Site
  • Working Day: eight (8) working hours / six (6) days a week
