Currently Europol is looking for Agent – Administrative Coordination. The successful candidate will
support the Head of the Corporate Affairs Bureau (CAB) by effectively coordinating administrative processes, communication flows and organisational activities, working closely with internal and external stakeholders. She/he will be facilitating communication, managing information and documentation and providing end-to-end administrative support for meetings, correspondence and other business activities.
The successful candidate will be entrusted with the following functions and duties:
- Coordinating information and workflows by consolidating inputs, monitoring deadlines, tracking follow up actions, providing updates on ongoing activities and timely routing of priority or urgent matters;
- Building and fostering relationships with internal stakeholders and external partners and acting as a point of contact for enquiries, often of a sensitive or confidential nature;
- Supporting the preparation and organisation of meetings and events;
- Managing agendas and commitments, managing functional mailboxes, maintaining accurate filing and record keeping systems;
- Preparing and distributing documents, adhering to strict quality standards;
- Making arrangements for business travel, including complex logistical coordination;
- Maintaining administrative tools and leading the production and preparation of management information;
- Regularly reviewing administrative processes and workflows to identify opportunities for improvement and digital transformation;
- Performing any other duties in the area of competence as assigned by line management.
Key requirements and knowledge:
- A level of education as described in the vacancy notice published on Europol’s website;
- Experience in providing administrative and coordination support, preferably to senior management or in an executive environment;
- Experience in coordinating administrative workflows and monitoring deadlines;
- Experience in managing correspondence and records, incl. drafting, proofreading and maintaining structured filing;
- Experience in providing logistical arrangements to meetings, events and business travel;
- Experience in handling confidential and sensitive information.
- Knowledge of administrative coordination and workflow management practices;
- Knowledge of records and information management principles, including filing and electronic document/records management systems;
- Knowledge of administrative procedures and organisational support practices;
- Ability to apply confidentiality principles and manage sensitive information with sound judgment and discretion.
Indicative salary:
The basic monthly salary in Function Group FGIII in grade 8 (EUR 3,475.62), grade 9 (EUR 3,932.44) or grade 10 (EUR 4,449.30).
The indicative salary for a staff member (single) in receipt of expatriation allowance (16%) is:
a) Staff member (single) in receipt of expatriation allowance (16%): FGIII: grade 8 EUR 4,144.80, grade 9 EUR 4,325.64, grade 10 EUR 4,776.92.
b) Staff member with two dependent children in their custody in receipt of expatriation allowance (16%): FGIII: grade 8 EUR 5,726.87, grade 9 EUR 6,228.31, grade 10 EUR 6,795.41.
