Join the Happy Learners admin support team and help make a difference through providing valuable admin and reception support to our awesome clients and team at our clinic daily.
We're searching for a 'support champion' who can assist our clinical team to do their best work by managing administrative client duties, and create an exceptional client experience for our families from first contact all the way through their OT journey with us.
Our private practice, Happy Learners Therapy Services, is an occupational therapy (OT) clinic located in Springwood, QLD. We provide occupational therapy services to children and their families in a clinic, home and school setting.
This role is not an entry-level position and is based on-site.
About the Role:
- Phone management- incoming enquiries, existing client requests, referrer conversations, and following reception workflows to ensure all information is documented accurately.
- Email management- internal team requests, external provider, parent and billing queries.
- Front of house- you will be the first point of contact for our clients- creating a great client experience for our families.
- Billing- accurate and compliant invoicing via our practice management software, attending to remittances, Medicare and NDIS billing.
- Complex Calendar Management- new bookings, cancellations, scheduling, support for clinicians with their diary management.
- Routine cleaning and clinic room maintenance each day
- Clinic close procedures
- Team supports- you will provide administrative support to the allied health team
These duties require a natural ability to multitask, solve problems on the fly, and execute processes with a high attention to detail.
About You:
To be a successful candidate and to thrive in this position you will need:
- Adequate prior reception and admin experience (absolutely essential)
- Allied health specific experience (highly regarded and fairly essential)
- Experience using task/ project management tools (i.e. Asana, Monday, Clickup, etc.)
- Availability that matches the role requirements

What to Expect:
Training:
We don’t expect you to know our specific systems on day one, but we do expect you to be a tech-savvy, enthusiastic learner. To set you up for success, we provide:
- Two weeks of intensive, structured onboarding: You’ll be closely supported as you learn our workflows, support task management, and systems/software.
- Spreading your wings: After the initial fortnight, you’ll take the lead on your daily duties, with the ongoing safety net of regular supervision and feedback and a supportive team behind you.
Buzzing and vibrant clinic environment: our clinic can get busy at peak periods and requires our support team to have excellent self-management, prioritisation and task management skills to keep on track.

Hours:
This position is permanent part-time starting with 30 hours/week. The successful candidate will need to have the following availability:
Monday: 9.00am to 5.30pm
Tuesday: 9.00am to 5.30pm
Wednesday: 12.30pm to 5.30pm
Thursday: 12.30pm to 5.30pm
Friday: 7.30am to 11.30am
