Job Responsibilities
- Administration & Operations Management
- Assist in managing daily school administrative and operational functions
- Ensure smooth execution of office operations, records management, and workflow processes
- Support the review and improvement of administrative procedures for efficiency and effectiveness
- Contracts & Compliance Support
- Coordinate contracts and service providers
- Ensure compliance with school policies and regulatory requirements (e.g. workplace safety, audits)
- Finance & Procurement Support
- Assist in procurement processes in accordance with APSN and school guidelines
- Support budget monitoring, invoice processing, and cost control
- Maintain proper documentation for audits and management reporting
- Human Resource & Staff Support
- Provide administrative support for staff onboarding, offboarding, and records
- Coordinate duty rosters, leave tracking, and staff-related administrative matters
- Support staff welfare and engagement initiatives where required
- Stakeholder & Vendor Coordination
- Liaise with internal departments, APSN Shared Services, vendors, and external agencies
- Support coordination of school events, programs, and official functions
- Ensure timely follow-up and resolution of operational matters
- Supervision & Team Support
- Guide and support junior administrative staff
- Assign tasks, monitor progress, and ensure service standards are met
- Officer-in-Charge of the Admin & Operations Department of the campus
- Any other tasks assigned by school leaders
Job Requirements
- Minimum Diploma / Degree in Business Administration, Public Administration, Management, or related field
- Strong organisational and coordination skills
- Good knowledge of administrative, procurement, and operational processes
- Ability to manage multiple priorities and deadlines
- Effective communication and stakeholder management skills
- Proficient in Microsoft Office and school administrative systems
- Discretion, professionalism, and attention to detail
- At least 3–5 years of relevant administrative or operations experience
- Prior experience in schools, public sector, or non-profit organisations preferred
- Experience supervising staff or leading small teams is an advantage
