The Assistant Manager, Executive Director's Office, serves as a strategic and operational partner to the Executive Director in advancing the mission and priorities of UNGCMBC. The role consists of executive office management and supports organisational planning and governance processes, as well as the execution of strategic initiatives and cross-functional projects. Working closely with internal teams, corporate participants, and external partners, this position helps drive organisational effectiveness and contribute to the Network’s impact in promoting responsible and sustainable business practices across the region.

Key Responsibilities

Executive Office Management

  • Provide administrative and strategic support to the Executive Director in managing priorities, schedules, meetings, travel arrangements, and correspondence.
  • Coordinate executive-level engagements, including preparing agendas, briefing materials, presentations, and meeting notes, and ensuring timely follow-up on action items.
  • Facilitate effective communication and coordination between the Executive Director, internal teams, corporate participants, and external stakeholders.

Organisational Planning and Governance

  • Support the Executive Director in organisational planning, performance monitoring, and the implementation of strategic priorities.
  • Coordinate governance-related activities, including Board and committee meetings, preparation of meeting materials, and tracking of decisions and action items.
  • Assist in the development and maintenance of organisational policies, reports, and internal documentation.

Strategic Initiatives and Project Management

  • Coordinate and support the implementation of strategic initiatives and cross-functional projects under the Executive Director's portfolio.
  • Monitor project timelines, deliverables, and performance indicators, ensuring effective execution and alignment with organisational objectives.
  • Undertake other duties and special projects as assigned by the Executive Director.

Required Qualifications

  • Bachelor's degree in Business Administration, International Relations, Sustainability, or a related field.
  • Minimum 3–5 years of relevant professional experience in executive office management, project management, corporate sustainability, or a related field.
  • Demonstrated ability to work independently, exercise sound judgement, and handle sensitive and confidential information with discretion.
  • Experience supporting senior leaders and managing executive-level engagements, meetings, and communications.
  • Strong written and verbal communication skills, with experience preparing reports, presentations, briefing materials, and professional correspondence.
  • Strong organisational, project management, and coordination skills, with the ability to manage multiple priorities and deliver high-quality work in a fast-paced environment.
  • Excellent interpersonal and stakeholder management skills, with the ability to build and maintain effective relationships across diverse groups, including senior executives and external partners.
  • Understanding of corporate sustainability, Environmental, Social and Governance (ESG) practices, and the Sustainable Development Goals (SDGs). Familiarity with the UN Global Compact principles or related sustainability frameworks is an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and performance/project management and collaboration tools (i.e., Asana or equivalent).
  • Fluent in English; proficiency in Bahasa Malaysia and Mandarin is an advantage.
  • For non-Malaysian candidates, a valid visa to work in Malaysia is required.
