About the Opportunity
A well-established healthcare and senior care organization is seeking an experienced Assistant to the Chief Operating Officer (COO) to provide high-level administrative and operational support. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment and enjoys working closely with executive leadership.
The Assistant to the COO will play a critical role in ensuring the efficient day-to-day operation of the executive office by managing schedules, coordinating meetings and events, handling confidential information, and serving as a liaison between departments and external stakeholders.
Key Responsibilities
- Manage and maintain the COO's calendar, meetings, and appointments.
- Coordinate logistics for meetings, conferences, events, site tours, and executive functions.
- Reconcile corporate credit card statements and maintain related records.
- Arrange travel accommodations, registrations, itineraries, and transportation.
- Prepare correspondence, reports, presentations, and other administrative documents.
- Maintain office records, administrative manuals, contact lists, and distribution groups.
- Screen incoming calls and messages and prioritize communications for the COO.
- Assist with personnel-related administrative matters while maintaining confidentiality.
- Respond to and route inquiries from residents, families, staff, vendors, and other stakeholders.
- Serve as a liaison between executive leadership, departments, consultants, and external partners.
- Support special projects and other executive office initiatives as assigned.
Qualifications
- Bachelor's degree preferred.
- Minimum of 5 years of Executive Assistant or Administrative Assistant experience.
- Prior experience supporting senior leadership in healthcare, senior living, or corporate environments preferred.
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication abilities.
- Advanced proficiency with Microsoft Office Suite, including Excel, PowerPoint, Outlook, and Teams.
- Experience with payroll and timekeeping systems is a plus.
- Ability to handle sensitive and confidential information with professionalism and discretion.
- Strong interpersonal skills with the ability to interact effectively with diverse stakeholders.
