Position Overview:
We are seeking a detail-oriented Automotive Warranty Administrator to focus on reviewing and preparing warranty repair orders for submission through a third-party warranty processing company. This role ensures all documentation is complete, accurate, and compliant with manufacturer and vendor requirements to maximize claim acceptance and timely reimbursement.

Key Responsibilities:

  • Review warranty repair orders for accuracy, completeness, and compliance with manufacturer and third-party processing guidelines
  • Prepare and submit warranty documentation to an external warranty processing company in a timely manner
  • Act as liaison between the dealership and the warranty processing provider to resolve discrepancies, rejections, and missing information
  • Audit technician stories, labor operations, parts usage, and supporting documentation prior to submission
  • Track claim status in DBS and Warrcloud to follow up on pending, rejected, or adjusted claims
  • Communicate with service advisors, technicians, and parts personnel to obtain corrections or additional details as needed
  • Provide the shop foreman with warranty training technicians and building a warranty SOP from the Nissan warranty policies and procedures
  • Monitor warranty receivables and assist with reconciliation of payments
  • Stay current on OEM warranty policies and third-party processing requirements
  • Assist with internal and external audits related to warranty claims
  • Close customer pay repair orders, ensuring accuracy of labor, parts, pricing, and proper documentation prior to final posting
  • Assist the service manager with opcode creation& updates , pricing analysis and competitive changes, labor type analysis, Grid usage and more CDK functionality.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred
  • 2+ years of experience in automotive warranty administration, repair order auditing, or dealership service operations
  • Experience working with third-party warranty processing companies strongly preferred
  • Strong understanding of warranty repair order structure, coding, and compliance requirements
  • Excellent attention to detail and organizational skills
  • Proficiency in dealership management systems (DMS-CDK) and standard office software
  • Strong communication and follow-up skills
  • Ability to manage multiple deadlines and priorities in a fast-paced environment

Preferred Skills:

  • Experience with Nissan OEM warranty systems and policies
  • Familiarity with dealership accounting and receivables processes
  • Knowledge of California compliance standards in automotive service operations
