Key Responsibilities

• Maintain and organize digital files, employee records, and company documents to ensure

proper documentation and easy retrieval.

• Prepare weekly and monthly reports on recruitment activities, headcount, staffing, and other

operational metrics using Microsoft Excel.

• Support the employee onboarding process by preparing Letters of Offer, Employment

Contracts, Staff Passes, and other employment-related documents.

• Ensure all employee information, records, and documentation are accurate, complete, and up

to date.

• Maintain and update internal resource management systems, ensuring employee information

and project allocation records are accurate.

• Coordinate onboarding activities, including the preparation of IT assets, system access, staff

passes, and other resources for new joiners.

• Assist in invoice preparation, billing coordination, and tracking of payment-related

documentation.

• Process staff reimbursement claims and ensure supporting documents are complete and

submitted in a timely manner.

• Coordinate and support the planning and execution of company events, employee

engagement activities, and internal meetings.

• Manage reservations and logistics for company meetings, business dinners, and stakeholder

events, and provide on-site coordination and support as required.

• Provide day-to-day administrative support to the HR and business operations teams.

• Handle confidential employee and company information with a high level of integrity and

professionalism.

• Perform other administrative and operational duties as assigned to support business needs.

Requirements

• Minimum Diploma in Business Administration, Human Resource Management, or a related

field. Relevant working experience in administration or HR support will be an added

advantage.

• Fresh graduates are encouraged to apply.

• Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook, with good

computer literacy and the ability to learn new systems quickly.

• Tech-savvy with the ability to work efficiently using digital tools and internal systems.

• Strong attention to detail with excellent organizational and time management skills.

• Good communication and interpersonal skills, with the ability to work effectively with

internal stakeholders and external parties.

• High level of integrity with the ability to handle confidential employee and company

information.

• Proficient in both English and Mandarin (spoken and written) to communicate effectively

with Mandarin-speaking clients and counterparts from China.

• Resourceful, proactive, and able to work independently while managing multiple tasks in a

fast-paced environment.
