About the job

Helinox is an outdoor furniture brand, maker founded and family owned since 2009. We created the ultralight packable chair category with Chair One in 2012, and we build globally across offices in Seoul, Singapore, San Francisco, Paris, Bangkok, and a growing studio in Kuala Lumpur.

Work Environment

Fully onsite at our KL Sentral office.

What you will do

Decision follow-through

  • Log every decision and instruction from the CEO with an owner, a deadline and a status.
  • Deliver a weekly open items report.
  • Surface items that are overdue or have no clear owner before being asked.
  • Consolidate action items from entity meetings into one tracked list.

Commercial and partnership support

  • Follow through on communication with major partners, tracking what we are waiting on, arranging meetings, and keeping a record of what was discussed and agreed. When a partner request comes in, find the right internal owner, connect them, and stay with it until a response goes out.
  • Maintain a status list of contracts, NDAs and license documents in flight. Legal reviews them, you keep the pipeline visible.

Preparation and reporting

  • Prepare briefings ahead of CEO meetings and travel, covering counterpart background, prior discussion history, open issues, and our position.
  • Research and produce one-page summaries on topics under consideration.
  • Support preparation of the CEO weekly update.

Meeting operations

  • Circulate agendas in advance, take the record, distribute action items and chase deadlines.
  • Coordinate participants across time zones.

What we are looking for

  • Four or more years of experience in consumer goods, brand, retail or consulting.
  • Business-level English is essential.
  • Korean or Mandarin is an advantage.
  • The ability to read a thread of emails and documents and identify what was actually decided and what was left open, this is the real test of the role.
  • Experience holding teams in other countries to deadlines. This role carries responsibility without formal authority, so it takes someone who can push without damaging the relationship.
  • Clean, organised written work.
  • Willing to travel. Expect several international trips a year at short notice, including Korea, Singapore, Vietnam, the US and Europe. Travel is fully covered.
  • Able to work across overlapping time zones.

What this role is not

  • Personal scheduling, travel booking or expenses – handled separately.
  • Family or private matters.
  • Decision-making authority. Decisions are made by the CEO and the entity heads. This role makes sure they are carried out.
