About the Role

Home Helpers Home Care of Boerne is seeking a highly organized, dependable, and proactive Client Care & Office Manager to lead our day-to-day client service operations and help manage our growing home care agency.

Our Service Area: Home Helpers Home Care of Boerne proudly serves clients throughout Kendall, Comal, Blanco, Gillespie, Hays, Llano, Burnet, Kerr, and Bandera Counties, including Boerne, Canyon Lake, Spring Branch, Fredericksburg, Kerrville, Blanco, and surrounding Hill Country communities.

This is a hands-on leadership position for someone who enjoys solving problems, managing people, building relationships with clients and families, and keeping a fast-moving operation organized.

The Client Care & Office Manager will oversee our Care Specialists, who manage designated geographic territories, and will be responsible for ensuring clients receive responsive, consistent service across those territories.

You will work closely with our Operations Manager, who oversees caregiver recruiting, workforce development, onboarding, and people operations.

We are looking for someone who takes ownership. When a scheduling problem, client concern, caregiver issue, or unexpected situation occurs, this person should be comfortable assessing the situation, directing the team, finding a solution, and knowing when something needs to be escalated to the Owner.

This is not strictly a desk position. Because we provide in-home care, members of our leadership team must be willing to step in and provide direct client care when an emergency staffing situation cannot otherwise be resolved.

What You’ll Be Responsible For

Client Care & Territory Management

  • Oversee client service delivery across assigned geographic territories.
  • Manage and provide day-to-day leadership to our Care Specialists.
  • Hold Care Specialists accountable for scheduling, client communication, caregiver coordination, assessment scheduling, and territory performance.
  • Serve as an escalation point for client and family questions, concerns, and service issues.
  • Monitor client satisfaction and proactively address service concerns.
  • Coordinate new client starts and ensure services are launched successfully.
  • Ensure client information, intake paperwork, service documentation, and records are complete and organized.
  • Help maintain continuity and consistency of caregivers whenever possible.

Scheduling & Service Coverage

  • Maintain oversight of schedules and uncovered shifts across all territories.
  • Ensure Care Specialists are proactively addressing call-offs, schedule changes, and coverage gaps.
  • Help troubleshoot difficult staffing situations.
  • Partner with the Operations Manager to identify caregiver recruiting and workforce needs by territory.
  • Monitor caregiver attendance, reliability, and service concerns and escalate patterns appropriately.
  • Provide direct caregiving assistance when an urgent staffing need cannot otherwise be covered.

Team Leadership

  • Directly supervise and develop our Care Specialists.
  • Establish priorities, expectations, and accountability for the team.
  • Monitor workload and territory performance.
  • Coach team members through client, caregiver, and scheduling challenges.
  • Promote a respectful, supportive, accountable, and solution-oriented workplace.
  • Identify operational problems and implement practical solutions.
  • Escalate significant employee, client, safety, compliance, or operational concerns to the Owner/Administrator.

Office Management

  • Oversee daily office operations and ensure administrative responsibilities are completed accurately and on time.
  • Maintain organized client records, files, and documentation.
  • Support phone coverage, correspondence, data entry, and other administrative functions as needed.
  • Monitor timekeeping issues, including missed caregiver clock-ins, and ensure appropriate follow-up occurs.
  • Maintain necessary office supplies and resources.
  • Ensure Home Helpers policies, procedures, confidentiality requirements, and service standards are consistently followed.

Our client agreements require the agency to manage scheduling, supervise caregivers, address client complaints, safeguard confidential health information, and maintain responsibility for services provided, making strong operational oversight an important part of this position.

Weekend On-Call Responsibility

The Client Care & Office Manager serves as the designated on-call manager Friday, Saturday, and Sunday from 8:00 PM–9:00 AM.

During on-call periods, you will:

  • Respond promptly to urgent caregiver call-offs and scheduling problems.
  • Address urgent client or family concerns.
  • Direct Care Specialists and available team resources to secure replacement coverage.
  • Make operational decisions necessary to maintain client services.
  • Escalate serious client, employee, safety, or operational matters when appropriate.
  • Document significant incidents for office follow-up.
  • Provide direct caregiving assistance when appropriate if other reasonable coverage options have been exhausted.

  • Previous leadership, management, or supervisory experience.
  • Experience in home care, senior care, healthcare, client services, office management, or a similar service-based environment preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication.
  • The ability to manage multiple priorities without losing track of details.
  • Strong problem-solving and conflict-resolution skills.
  • Confidence making day-to-day operational decisions independently.
  • The ability to lead remote team members effectively.
  • Comfort working with scheduling software, computer systems, email, phone systems, and data entry.
  • Professionalism and discretion when handling confidential client and employee information.
  • A calm, solutions-focused approach when plans change unexpectedly.
  • Willingness and ability to provide hands-on caregiving assistance when necessary.
  • A genuine commitment to serving older adults and families.
