A first-class production company is seeking a sharp, resilient, and highly organized full-time Coordinator to support a high-profile entertainment executive in New York City. This role is ideal for someone with prior entertainment agency, talent management, or production company experience who understands the urgency, pace, and discretion required when supporting an extremely high-volume principal. This position is based in New York City, with both domestic and international travel as needed.

Responsibilities

  • Manage heavy professional and personal scheduling for an extremely busy executive
  • Coordinate a fast-moving calendar with frequent changes, shifting priorities, and last-minute updates
  • Provide on-set support and assist with day-to-day coordinator/personal assistant responsibilities as needed
  • Act as a coordinator/scheduler/runner hybrid, handling both administrative and hands-on support tasks
  • Coordinate domestic and international travel, including logistics, itineraries, and real-time adjustments
  • Communicate clearly with internal teams, external contacts, vendors, and production-related stakeholders
  • Anticipate needs, stay several steps ahead, and ensure the principal’s day runs as smoothly as possible
  • Handle confidential information with the highest level of discretion
  • Perform services at such times and places as may be designated by the company
  • Remain calm, solutions-oriented, and unfazed in a high-pressure environment

Qualifications

  • 2–3+ years of relevant experience in entertainment, ideally from an agency
  • Prior experience supporting a high-volume desk, partner, executive, talent manager, producer, or entertainment principal
  • Must have your own reliable vehicle for running errands and transportation
  • Strong scheduling, communication, and organizational skills
  • Ability to manage frequent changes and competing priorities without becoming overwhelmed
  • High stress tolerance and excellent executive function
  • Flexible and willing to travel domestically and internationally as needed
  • Polished, discreet, reliable, and professional
  • No-task-too-big-or-too-small mentality

Location: New York City

Salary: Up to $30/hour + paid OT and medical
