As we continue to expand across Australia, New Zealand, Malaysia and Europe, we are seeking a proactive and professional Corporate Services Administrator to support our growing Parramatta office.
About the Role
We are looking for an experienced and highly organised Corporate Services Administrator to be the driving force behind the smooth day-to-day operation of our Parramatta office. This is a full-time, office-based position that plays a critical role in supporting our local team, clients and broader business operations.
This opportunity is suited to someone who is self-directed, proactive and confident managing a diverse range of administrative responsibilities. You will be comfortable working independently, anticipating business needs and maintaining a high level of professionalism in all interactions.
Key Responsibilities
In this role, you will:
- Provide comprehensive administrative support across office operations
- Manage reception duties, including incoming calls, visitor management and front-of-house responsibilities
- Serve as the first point of contact for clients, visitors and external stakeholders
- Maintain accurate records relating to company assets, IT equipment, office supplies, mobile phones and corporate credit cards
- Coordinate procurement activities, including obtaining quotations, preparing comparisons and processing approvals
- Liaise with building management, cleaners and external service providers as required
- Monitor and manage shared inboxes and multiple calendars
- Provide project administration support, including reporting, tracking actions and maintaining project systems
- Assist with onboarding activities for new employees and visitors
- Coordinate domestic and international travel arrangements for staff and management
- Organise catering and assist with internal meetings, workshops and corporate events
- Support workplace health and safety initiatives and administrative requirements
- Monitor and replenish office, stationery and kitchen supplies
- Assist with document control and filing activities when required
- Undertake additional administrative and operational duties as directed
Skills & Experience
To be successful in this role, you will have:
- Minimum 4 years' experience in administration, office coordination, customer service or a similar role
- Vaid Australian Drivers Licence
- Excellent written and verbal communication skills
- Strong attention to detail and commitment to accuracy
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel and Teams
- Strong organisational and time management skills with the ability to prioritise competing demands
- A proactive approach to problem-solving and continuous improvement
- Excellent interpersonal skills and the ability to build strong working relationships with stakeholders at all levels
- Professional presentation and telephone manner
- A reliable work ethic with strong attendance and punctuality
- Ability to work autonomously while contributing positively to a team environment
- Experience supporting professional services, engineering or project-based environments will be highly regarded
- Ability to successfully complete pre-employment screening, including drug and alcohol testing
