The Document Controller shall be responsible for managing, organizing, maintaining, tracking, and controlling official documents, records, correspondence, and digital files of the Authority in accordance with approved policies, confidentiality requirements, and record management standards. The role requires ensuring proper version control, secure filing systems, timely circulation of documents, and maintenance of accurate records for operational, legal, procurement, HR, finance, and project-related matters.
The incumbent will support organizational efficiency by ensuring that all official documentation is properly archived, retrievable, secure, and compliant with applicable government procedures and internal policies.
Key Responsibilities
- Maintain and manage physical and electronic document management systems.
- Ensure proper filing, indexing, classification, scanning, and archiving of official records and correspondence.
- Maintain version control of policies, agreements, project documents, notifications, office orders, contracts, and reports.
- Track incoming and outgoing documents and maintain document registers/logs.
- Ensure confidentiality and security of sensitive organizational records and information.
- Coordinate with departments for timely submission, review, approval, and circulation of documents.
- Assist in maintaining records related to procurement, HR, finance, legal, and project documentation.
- Prepare and maintain document control procedures, templates, and numbering systems.
- Retrieve documents and records upon official request and maintain audit trails.
- Ensure compliance with document retention schedules and government record management practices.
- Support audits, inspections, and internal reviews by providing required documentation.
- Maintain backup and digital storage systems for organizational records.
- Monitor document workflows and follow up on pending approvals or submissions.
- Assist in preparation of meeting files, board documents, presentations, and official correspondence.
- Perform any other task assigned by the competent authority.
Qualification & Experience
Education
- Bachelor’s degree in Business Administration, Management, Library Sciences, Information Management, Computer Science, or a related field from an HEC-recognized institution.
Experience
- Minimum 2–4 years of relevant experience in document control, records management, administration, or office coordination.
- Experience in government, public sector, development sector, or technology organizations shall be preferred.
Required Skills & Competencies
- Strong document management and recordkeeping skills.
- Knowledge of filing systems, document control procedures, and archival standards.
- Proficiency in MS Office Suite, especially Word, Excel, and SharePoint/document management systems.
- Strong organizational and time management abilities.
- Attention to detail and accuracy.
- Ability to handle confidential and sensitive information professionally.
- Good written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines.
- Familiarity with digital document management tools and workflow systems shall be an advantage.
