Position Summary

The Event Executive is responsible for the planning, coordination, and execution of events from preparation through post-event wrap-up. This role requires a hands-on individual who can manage event logistics, coordinate with clients and internal teams, and ensure every event runs smoothly while representing the company’s brand professionally.

Key Responsibilities

Event Operations

  • Coordinate and execute events according to the event brief and timeline.
  • Lead the physical setup and dismantling of event booths, draft systems, POSM, furniture, and equipment.
  • Ensure all event equipment is accounted for, clean, and event-ready before and after each event.
  • Troubleshoot operational issues during events and provide on-site support.

Logistics & Inventory

  • Plan and coordinate transportation for event equipment, beer kegs, and supplies.
  • Arrange delivery and collection schedules with logistics partners or internal drivers.
  • Coordinate beer keg orders with the production or warehouse team to ensure sufficient stock for every event.
  • Maintain inventory records of event equipment and report any damages or shortages.

Staffing Coordination

  • Recruit, schedule, and brief part-time event staff.
  • Prepare duty rosters and assign responsibilities for each event.
  • Ensure all staff understand event procedures, product knowledge, and customer service expectations.
  • Monitor attendance and performance of event crew.

Client Coordination

  • Serve as the primary point of contact for clients before and during events.
  • Confirm event requirements, venue access, setup times, and operational details.
  • Coordinate with venue management, organizers, suppliers, and other stakeholders to ensure smooth event execution.
  • Communicate any changes or issues promptly and professionally.

Administration

  • Prepare event checklists, packing lists, and operational documents.
  • Track event expenses, logistics costs, and inventory usage.
  • Assist with post-event reporting, including sales figures, operational feedback, and improvement recommendations.

Requirements

  • Diploma or Bachelor’s degree in Event Management, Hospitality, Business, or a related field (preferred).
  • 1–3 years of experience in event operations, logistics, hospitality, or a similar role.
  • Strong organizational and time management skills with excellent attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient in both English and Bahasa Malaysia (spoken and written). Ability to communicate in Mandarin is an added advantage.
  • Proficient in Microsoft Office or Google Workspace; experience with Lark is an advantage.
  • Ability to work independently, multitask, and remain calm under pressure.
  • Possess a valid Class D driver’s license (preferred).

Physical Requirements

  • Physically fit and able to handle the physical demands of event setup and dismantling.
  • Comfortable with manual setup and dismantling of event booths and equipment.
  • Willing to work evenings, weekends, and public holidays as required by event schedules.
  • Comfortable working in both indoor and outdoor environments under varying weather conditions.
