The Team
The Deloitte Administration team coordinates day-to-day office operations to help ensure our people work in a healthy, hygienic, safe, and comfortable environment.
Work you will do
You will support a smooth and cost-effective office environment by following firm policies and procedures, coordinating administration activities, and delivering services on time and to a high standard.
- Procurement & vendor management
- Coordinate end-to-end vendor and procurement activities by liaising with internal teams and stakeholders to support sourcing needs, supplier engagement, documentation handling, and timely completion of procurement requests.
- Request quotations, arrange supplier visits, and support administrative purchases.
- Assist with receiving orders and coordinate delivery/collection as required.
- Coordinate vendor interventions (e.g., equipment repairs) and follow through to closure.
- Raise purchase orders and track approvals in line with firm procedures.
- Contracts & document control
- Coordinate agreement execution by tracking follow-ups until fully signed; file final documents, upload copies to the relevant repository, and distribute originals to the concerned parties.
- Ensure documents are scanned, named consistently, and uploaded in a structured and organised manner.
- Track renewals for AMC contracts and other agreements; flag upcoming expiries and coordinate renewals.
- Travel & transportation support
- Arrange transportation for staff (e.g., taxi bookings) and reconcile usage/invoices with service providers.
- Support the Travel Desk by assisting with bookings, coordinating requests, and following up with travellers and service providers.
- Events & office operations
- Assist with planning and delivering events, including preparation, vendor coordination, on-site logistics, and stakeholder communication.
- Support internal, statutory, and regulatory compliance activities as required.
- Collaboration & reporting
- Build working relationships with departmental points of contact (Finance, IT, Talent, Risk & Reputation Office) and Administration colleagues to ensure smooth coordination.
- Keep your reporting line informed regularly on key activities, risks, and pending actions within your responsibility.
- Perform other related duties, as required, to support smooth administrative, procurement, and operational activities.
Qualifications & experience
- Graduate in any stream in Business Administration or other related courses
- Must have 1 – 2 years’ experience preferably in a similar industry
- Strong understanding of job description, good stakeholder management & negotiating skills
- Strong command of English (spoken and written).
- Strong proficiency in MS Office (Excel, Word, Outlook).
