We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team! Duties

  • Manage and coordinate executive calendars, appointments, and meetings with precision and efficiency
  • Handle incoming calls using multi-line phone systems with professionalism and courtesy, practicing excellent phone etiquette
  • Prepare, proofread, and distribute correspondence, reports, and presentations using Microsoft Office and Google Workspace tools
  • Maintain organized filing systems—both digital and physical—and ensure data entry accuracy for records management
  • Support office management tasks such as supply ordering, inventory tracking, and facility coordination
  • Assist with onboarding process for new properties
  • Assist with bookkeeping/administrative activities using Enumerate and Yardi software for expense tracking and invoicing
  • Provide exceptional customer service at the front desk, greeting visitors and directing inquiries promptly while maintaining a welcoming environment
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation for executives or staff members
  • Manage confidential information with discretion and professionalism at all times
  • Support personal assistant duties as needed, including calendar management and task prioritization

Requirements

  • Proven experience in office management or administrative roles with clerical experience in a professional setting
  • Property management experience a plus
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Personal assistant experience or calendar management expertise is preferred
  • Exceptional typing speed combined with proofreading skills to ensure accuracy in all communications
  • Strong time management skills to meet deadlines consistently while managing multiple responsibilities

Pay: $21.00 – $23.00 per hour
