We are seeking a highly organized, proactive, and experienced candidate to join our New York City Architecture studio. This position plays a key role in ensuring smooth studio operations, while also providing essential support across human
resources administration, marketing coordination, and business development.
Ideal Candidate Profile
Minimum of 10 years of experience spanning office administration, office operations management, marketing and sales / business development coordination, and or HR administration (including recruiting, payroll coordination, and HR compliance).
Bachelor’s degree in Office Administration, Human Resources, Business, or related field preferred.
Exceptional communication skills, both written and verbal.
Detailed-oriented and extremely well organized.
Tech-savvy with strong proficiency in Microsoft Office Suite and basic IT troubleshooting.
Strong interpersonal skills, team-oriented mindset, and ability to work independently.
Adept at multitasking and prioritizing in a fast-paced environment.
Experience with PEO platforms and HR compliance processes is a strong asset.
Fluency in English is required.
Key Responsibilities Include:
Handle phone and email correspondence, mail, deliveries, and document management.
Coordinate IT needs, including office technology setup, troubleshooting, and liaising with vendors.
Maintain office supplies inventory and manage vendor relationships.
Support the development, maintenance, and communication of internal office policies.

Coordinate bimonthly payroll processing for the NYC studio in collaboration with Engaged, ensuring accuracy and timeliness.
Oversee HR compliance with federal, state, and city employment regulations, maintaining accurate records and ensuring up-to-date policies.
Lead recruiting initiatives, employee onboarding and offboarding, coordinating documentation and system access.
Support the performance review process and employee lifecycle management.
Manage insurance renewals, employee benefits coordination, and required license and registration renewals.
Marketing Coordination Support (10%)
Assist in the development and organization of marketing materials, including project sheets, staff bios, and firm capabilities.
Maintain image libraries and project archives to support marketing and PR efforts.
Support award submissions, speaking proposals, and press content development.
Business Development Support (10%)
Assist in preparing proposals, qualification submissions, and competition entries.
Schedule and support business development meetings and client engagements.
Help maintain CRM system and opportunity tracking databases.
Coordinate with leadership on BD scheduling and priority planning.
Work Environment & Benefits
This is a full-time, hybrid, position that requires the employee to be in our NYC Studio office at least 3 days a week.
