The Position
Rightsline is seeking a proactive and culture-driven Executive Administrator to join our team in Toronto. As an Executive Administrator, you will play a pivotal role in streamlining our operations by providing high-level support to six key executives while cultivating a vibrant, professional office environment. This role offers an exciting opportunity to be the "face" of our office, leverage your deep GTA knowledge to execute flawless events, and contribute directly to the organizational success by supporting our executive leaders.

W hat You Will Do: Executive Support (60%)
- Calendar Tetris: Manage complex, high-volume calendars for 6 executives, proactively resolving scheduling conflicts before they happen.
- Travel & Logistics: Coordinate end-to-end domestic and international travel, including flights, hotels, ground transport, and detailed itineraries.
- Gatekeeping: Act as the primary point of contact for internal and external stakeholders, vetting requests and protecting the executives' time.
- Meeting Management: Prepare agendas, take minutes for leadership meetings, and track follow-up items to ensure accountability.
- Expense Management: Reconcile monthly credit card statements and out-of-pocket expenses for the leadership team.
Office Operations & Culture (40%)
- The "Face" of the Office: Manage the reception area, greet guests, and handle incoming mail/couriers with a professional Toronto-vibe.
- Vendor Liaison: Manage relationships with building management, cleaning services, IT support, and catering vendors.
- Office Vibe & Supplies: Keep the kitchen stocked (the good coffee matters!), order office supplies, and ensure meeting rooms are "client-ready" at all times.
- Event Planning: Lead the charge on internal team-building events, holiday parties, and client dinners in the GTA.
- Onboarding: Assist HR with the physical onboarding of new hires (desks, tech, security badges).
What You Will Bring:
- Experience: 5+ years in a senior administrative role, ideally supporting multiple stakeholders in a fast-paced environment (Finance, Tech, or Professional Services preferred).
- Tech Savvy: Advanced proficiency in Google Workspace or Microsoft 365 . Familiarity with Slack, Zoom, and expense software (e.g., Expensify) is a must.
- The "Toronto Knowledge": Deep familiarity with the city—you know the best spots for a last-minute power lunch in the Financial District or where to source local catering.
- Communication: Exceptional verbal and written communication skills; you can draft a professional email to a CEO just as easily as a fun Slack update to the team.
- Discretion: You handle sensitive information with the utmost confidentiality.

Our 4 Stage Recruitment Process
- Review – We review applications and screen based on a variety of criteria.
- Phone – Candidates will be screened via a quick 20-minute Zoom meeting to discuss the role opportunity.
- Interview – We will conduct 2-3 stages of interviews via Zoom.
- Offer – We will make an offer to the candidate that we feel would excel most in the role.
