Job Summary:

The Executive Assistant provides high-level administrative support to multiple Managing Partners in a fast-paced financial services firm. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to multitask effectively. The Executive Assistant will be responsible for managing complex schedules, coordinating meetings, handling confidential information, and facilitating communication within and outside the organization.

Key Responsibilities:

Calendar Management: Proactively manage and coordinate multiple complex calendars, scheduling meetings, appointments, and conference calls across multiple time zones.

Travel Coordination: Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries.

Meeting Preparation & Support: Prepare meeting agendas, presentations, and briefing documents; take detailed notes and follow up on action items.

Correspondence & Communication: Act as a liaison between Managing Partners, clients, stakeholders, and internal teams, handling email and phone communications with professionalism.

Document Management: Draft, edit, and proofread reports, presentations, and correspondence; maintain organized digital and physical filing systems.

Expense Management: Process and track expense reports, reimbursements, and invoices in accordance with company policies.

Project Assistance: Support strategic initiatives by assisting with research, data analysis, and special projects as needed.

Confidentiality & Compliance: Handle sensitive information with discretion and ensure compliance with firm policies and financial regulations.

Event Coordination: Plan and organize internal and external events, conferences, and client meetings.

Qualifications & Skills:

Bachelor’s degree in Business Administration, Finance, or a related field preferred.

Minimum of 5 years of executive-level administrative support experience, preferably in financial services, investment banking, private equity, or a related industry.

Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with financial industry tools (Bloomberg, Salesforce, etc.).

Exceptional organizational, time management, and problem-solving skills.

Excellent written and verbal communication abilities.

Ability to prioritize and manage multiple tasks under pressure.

High level of professionalism, discretion, and confidentiality.

Strong attention to detail and accuracy.

Ability to work independently and collaboratively in a team environment.
