Title: Executive Assistant
Company: theFinanceStack
Location: Greater Vancouver Metropolitan Area
About the Role
We’re seeking a proactive, organized, and tech-savvy Executive Assistant (EA) to work directly with the CEO of a fast-paced startup. This is a high-impact role for someone who thrives on accountability, operational precision, and loves turning ideas into executed tasks. You’ll be the go-to person for managing follow-through across emails, meetings, and action items—making sure nothing slips through the cracks.
This isn’t your average calendar-and-travel EA job. You’ll be embedded in the heart of our operations, and ideally, you’ll also be excited to experiment with AI and automation tools to make us more efficient every day.
What you’ll do
Email Triage & Follow-Up:Monitor the CEO’s inbox and flag, track, or action emails that require responses, decisions, or delegation.
AI Call Summary Review & Action Management: Review 100% of AI-generated call summaries. Identify, extract, and track action items—assigning responsibility and timelines where needed.
Accountability Partner: Ensure all action items from meetings and emails (for both the CEO and others) are completed. Follow up, remind, and chase as necessary.
Hands-On Execution: Where possible, complete the CEO’s action items directly—whether it’s drafting an email, researching a topic, or preparing documents.
Automation Support (Bonus Area): Help build and manage internal automations using tools like n8n, ChatGPT, or Zapier to streamline workflows and reduce manual tasks.
What we’re looking for
Exceptionally Organized: You’re the kind of person who keeps detailed to-do lists, never misses a follow-up, and thrives in a checklist-driven world.
Relentlessly Proactive: You don’t wait to be told what to do—you anticipate needs and act on them.
Strong Communicator: You write clearly and concisely, and you’re comfortable nudging team members or external contacts to get things done.
Digitally Fluent: Comfortable navigating modern tools and platforms. Bonus if you’ve played around with automation platforms or AI tools—or are eager to learn.
Detail-Oriented & Reliable: You double-check your work and pride yourself on your accuracy and discretion.
