Job Summry
We are looking for a highly capable and proactive Executive Assistant to Executive Director who will act as a key coordination point between the Director and various Departments within the company.
This is not a traditional Personal Assistant (PA) role. The successful candidate will function as a “mini Director” , having a broad understanding of the company’s operations and working closely with HODs across departments including Business Development, Procurement, Finance and other key functions.
The role requires someone who is organised, analytical, commercially aware, able to multitask and confident in coordinating with different departments.
Duties & Responsibilities
- Work closely with the Director and various HODs to monitor overall departmental activities and business operations.
- Coordinate and follow up with departments including Business Development, Procurement, Finance and other relevant departments.
- Review departmental updates, reports, pending matters and action items before they are escalated to the Director.
- Ensure HODs follow up on assigned tasks, deadlines and business priorities.
- Act as a communication bridge between the Director and department heads.
- Assist the Director in monitoring ongoing projects, business development activities, procurement matters, financial matters and other company initiatives.
- Prepare management reports, presentations, summaries and business updates for the Director.
- Analyse information from different departments and highlight important issues, risks or matters requiring management attention.
- Attend meetings with the Director and follow up on decisions and action items.
- Coordinate cross-departmental matters and ensure timely execution.
- Handle confidential and sensitive company information with a high level of professionalism.
- Perform other strategic and operational duties assigned by the Director.
Requirements
- Bachelor’s Degree in Business Administration, Management, Business, Human Resources or a related field.
- Preferably 2–5 years of working experience in business operations, management, executive support, business development, administration or a related role.
- Excellent command of Microsoft PowerPoint, Excel, Word and other computer applications.
- Strong computer skills with the ability to learn and use new systems quickly.
- Strong communication, coordination and interpersonal skills.
- Able to multitask and manage multiple priorities efficiently.
- Strong analytical and problem-solving skills.
- Good leadership skills and the ability to take ownership of responsibilities.
- Proactive, independent, organised and detail-oriented.
- Comfortable communicating and working with HODs and senior management.
- Able to work under pressure and meet deadlines.
- Candidates with strong business acumen and the ability to understand different departments will have an added advantage.
