Executive Assistant to Founder & CEO
Cambridge | Hybrid
£45,000–£50,000 base + up to £10,000 annual performance bonus (£60,000 OTE).
Join the world’s leading institute for Major Incident Management.
MIM® is the world’s leading institute for Major Incident Management.
Organisations in more than 98 countries use our internationally recognised frameworks, training and certifications to prepare for and respond to their most critical technology and business incidents.
Our clients include some of the world’s largest organisations across financial services, technology, healthcare, government and critical infrastructure—environments where every minute of disruption matters.
As MIM® enters an exciting new phase of international growth, we’re looking for an exceptional Executive Assistant to become the trusted operating partner to our Founder and CEO.
This isn’t a traditional EA role
You won’t simply manage a calendar.
You’ll work at the centre of the company, creating the clarity, organisation and capacity that allow the Founder to focus on enterprise clients, product development, strategic partnerships and international growth.
Your role is to anticipate rather than react, solve problems before they become distractions and ensure that important priorities move forward without repeated intervention.
You’ll combine first-class executive support with project coordination, business operations and selected personal assistance.
This is a high-trust, high-ownership role for someone who wants to become genuinely indispensable.
Working with the Founder
You’ll work directly with Adam Norman, Founder and CEO of MIM®.
Adam is ambitious, direct, relentlessly curious and moves quickly. He develops ideas rapidly and expects work to be completed to a high standard.
He values honesty, initiative, loyalty, sound judgement and people who take ownership without waiting to be asked.
You’ll thrive in this partnership if you can bring calm structure to a fast-moving environment, challenge constructively when necessary and confidently turn direction into completed outcomes.
The role
No two weeks will look the same.
You may be coordinating international travel for enterprise client engagements, preparing briefing materials, driving actions from leadership meetings, supporting recruitment, improving internal systems or managing personal logistics that protect the Founder’s time.
Occasional international travel will be required.
Executive support
– Own and actively manage the diary, inbox and priorities.
– Prepare meeting briefs, agendas, presentations and follow-up actions.
– Coordinate complex UK and international travel.
– Anticipate requirements and resolve conflicts before they escalate.
– Act as a trusted gatekeeper and representative of the Founder.
– Handle sensitive information with absolute discretion.
– Ensure decisions and commitments are captured and completed.
Business and operational support
– Coordinate strategic projects across the company.
– Track priorities, deadlines and actions through to completion.
– Support recruitment, onboarding and company planning.
– Produce clear reports, correspondence and presentations.
– Coordinate suppliers, partners and important stakeholder relationships.
– Improve systems and working practices.
– Step into emerging priorities wherever you can create the greatest value.
– Communicate with clients on behalf of the CEO.
Personal support
You’ll manage selected personal responsibilities that protect the Founder’s time and focus. These may include travel, appointments, household administration and family logistics.
This aspect of the role requires discretion, maturity and a genuine service mindset.
What success looks like
Within your first year:
– The Founder has substantially more time for strategy, clients and growth.
– Priorities are clear and important actions are consistently completed.
– Problems are often resolved before the Founder needs to become involved.
– Internal and external stakeholders receive prompt, professional communication.
– The business operates with greater pace, order and consistency.
– You are trusted to exercise judgement and act with increasing autonomy.
About you
You will have:
– Significant experience directly supporting a Founder, CEO or senior executive.
– Exceptional written and verbal English is a must.
– Evidence of managing complex diaries, inboxes and international travel.
– Excellent judgement, discretion and emotional intelligence.
– Outstanding attention to detail and follow-through.
– The confidence to challenge priorities constructively.
– The ability to remain calm when plans change quickly.
– Strong organisational and project-coordination skills.
– Confidence communicating with enterprise clients and senior leaders.
– A track record of acting proactively with minimal supervision.
Most importantly, you notice what needs doing—and take responsibility for getting it done.
Practical requirements
– You must be able to work regularly with the Founder in Cambridge.
– This is a hybrid role, not a fully remote position.
– Occasional international travel is required.
– Some flexibility outside conventional hours will occasionally be necessary due to international clients and travel.
– The role includes both business and selected personal support.
Why join MIM®?
You’ll work directly alongside the Founder during a pivotal stage in the company’s 10 year history and growth, gaining first-hand exposure to:
– Business strategy and company building
– Enterprise sales and international clients
– Product and intellectual-property development
– Strategic partnerships
– Recruitment and operations
– International expansion
You’ll be trusted with meaningful responsibility from the beginning.
Potential progression
For an exceptional performer, there is a genuine opportunity for this role to develop over time into a Chief of Staff or senior strategic operations position as MIM® grows.
This is not an automatic or time-based promotion. Progression will be earned by first becoming outstanding at the fundamentals of the role: building trust, exercising excellent judgement, protecting the Founder’s time, driving execution and consistently completing what matters.
The right person will gradually take ownership of broader company priorities, leadership coordination, strategic projects and operational decision-making.
Salary and benefits
– £45,000–£50,000 base salary, depending on experience
– Up to £10,000 annual performance bonus
– Hybrid working
– Occasional international travel
– Significant autonomy and access to the Founder & CEO
– Genuine long-term progression
