We are hiring a highly organized, detail-driven, and dependable Virtual Assistant to support our HR department, in a high-volume hiring environment.

This role is built for someone who can handle recruitment coordination with speed, structure, and precision. You will be responsible for keeping hiring operations moving smoothly by managing candidate communication, interview scheduling, application tracking, and recruitment records at a high standard.

This is not a basic admin role. We need someone who is responsive, disciplined, calm under pressure, and capable of managing volume without losing accuracy.

Role Summary

You will act as a key support function within the HR department, with a primary focus on recruitment coordination and interview scheduling. The role requires strong operational discipline, excellent follow-through, and the ability to manage large candidate pipelines without confusion, delays, or errors.

You must be comfortable working in a structured, fast-paced environment where timelines matter, communication must be professional, and hiring data must stay organized at all times.

Key Responsibilities

Support the HR team in daily recruitment and hiring operations

Screen incoming applications and organize candidate data with accuracy

Maintain and update hiring trackers, spreadsheets, and recruitment records

Coordinate and schedule a high volume of candidate interviews efficiently

Manage interview calendars and align availability between candidates and internal interviewers

Send interview invitations, confirmations, reminders, and follow-ups professionally

Handle rescheduling quickly while ensuring all records remain updated

Keep candidate pipelines organized across different stages of the hiring process

Review CVs and shortlist candidates based on provided criteria

Post roles on relevant hiring platforms when required

Ensure strong coordination between candidates, recruiters, and hiring managers

Collect required candidate information and documentation

Maintain accuracy, structure, and consistency across all recruitment-related data

Report daily progress, completed work, pending actions, and blockers clearly

Requirements

Previous experience as a Virtual Assistant, Recruitment Assistant, HR Assistant, or similar role

Strong written and verbal communication skills

Good command of English

Strong attention to detail and high level of accuracy

Strong organizational and time management ability

Ability to work independently and handle responsibility professionally

Proficiency in Google Sheets, Google Docs, Microsoft Office, or similar tools

Comfortable managing high-volume coordination and scheduling tasks

Ability to keep records clean, updated, and reliable

Stable internet connection and a proper remote work setup

Preferred Profile

Experience in recruitment support or HR operations

Experience coordinating interviews and managing calendars

Strong sense of urgency with controlled execution

Professional communication style

This is a remote position

Working hours are fixed at 3:00 PM to 11:00 PM Pakistan Standard Time
