ABOUT THE ROLE

The Executive Assistant to the CEO will serve as a strategic partner and force multiplier for NewDEAL’s top leadership. This is a high-trust, high-responsibility role that goes far beyond traditional administrative support. The right candidate will be a proactive, organized, and deeply discreet professional who can anticipate needs before they arise, manage complexity with ease, and keep the CEO focused on the work that matters most.

A great Executive Assistant doesn’t just manage a calendar—they hold the whole operation in motion. From orchestrating complex travel to anticipating what’s needed before anyone asks, this role is the connective tissue between priorities, people, and momentum. ABOUT THE NEWDEAL

The NewDEAL (Developing Exceptional American Leaders) is a diverse national network of the most thoughtful and impactful center-left state and local leaders across the country. For 15 years, the NewDEAL has helped these leaders share ideas that work and has amplified their voices and solutions on issues from combating climate change and building an inclusive economy to defending democracy. The NewDEAL (and our sister 501c3, the NewDEAL Forum) operates a small, highly collaborative team mostly based in Washington, DC.

RESPONSIBILITIESExecutive Support

  • Serve as the day-to-day “gatekeeper” to the President & CEO—managing her schedule, tracking priorities, and ensuring exceptional execution of all commitments.
  • Provide sophisticated calendar management, prioritizing multiple appointments, troubleshooting conflicts, and making sound judgments about what requires the CEO’s direct attention.
  • Prepare the CEO ahead of meetings, events, and speaking engagements with concise, well-researched briefing materials, working across the team as needed.
  • Manage the CEO’s inbox with discretion—triaging messages, surfacing time-sensitive items, and ensuring nothing falls through the cracks.
  • Draft and edit high-level CEO communications and correspondence—including email responses and board materials—that reflect the voice and priorities of leadership.
  • Support the CEO’s donor engagement efforts, including prospecting, pipeline management, outreach scheduling, and follow-up.
  • Maintain and regularly update contact databases and relationship records for CEO-managed relationships.
  • Work with senior leadership to track cross-organizational initiatives and ensure the CEO has visibility into key deadlines, decisions, and bottlenecks.
  • Oversee travel planning, including briefing books and schedules for multi-day trips, including overseeing logistics for all people in the traveling party such as staff and NewDEAL Leaders
  • Support financial processes including expense tracking, reimbursements, and budget coordination for CEO-related activities.
  • Tracking how the CEO’s time is spent in order to identify opportunities for streamlining, efficiency, and overall impact.
  • Anticipate needs and proactively identify opportunities to support the success of NewDEAL and its leadership.
  • Perform additional duties and research as assigned.

Board of Directors Support

  • Work with the CEO and Chief of Staff to support board meetings as needed, potentially including scheduling, securing meeting space, arranging catering, preparing materials, and managing day-of technology.
  • Support the organization and distribution of board materials.
  • Maintain accurate, up-to-date board member information, including contact preferences and other key details to support personalized engagement.
  • Conduct research and gather information for board dinners, retreats, and special events.

Office & Operations Support

  • Support NewDEAL staff in scheduling needs, event planning and logistics, meeting briefings, and relationship tracking, especially related to NewDEAL’s signature events (annual summit, annual conference) and podcast.
  • Work with the operations and development staff members to update and maintain database, website, and other backbone organizational systems on a regular basis.
  • Assist in coordinating virtual and in-person events and other outreach efforts, especially when the CEO is directly involved.
  • Proactively identify and work with the Chief of Staff and operations staff to help develop technological and systematic solutions to support new organizational priorities.

ABOUT YOU

Successful candidates will bring high standards for individual and team performance, and an ability to combine self-direction with collaborative decision-making. Additionally, ideal candidates will have:

  • 3–5+ years of experience in executive support or project management—preferably supporting a senior leader in a fast-paced, mission-driven environment.
  • Strong organizational skills with the ability to perform and prioritize multiple tasks seamlessly and with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with diverse stakeholders, including staff, board members, external partners, and donors.
  • Expert-level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with sound decision-making capability.
  • A forward-looking mindset—someone who actively seeks opportunities and proposes solutions before problems arise.
  • Unshakeable discretion and sound judgment when handling sensitive information.
  • A positive attitude and the ability to stay calm and focused under pressure.
  • A passion for state and local politics and a belief in the pro-growth progressive philosophy of NewDEAL Leaders.
  • Familiarity with NGP EveryAction or similar CRM platforms is a plus.
