The Opportunity

This is not a traditional Executive Assistant role.

The Executive Business Partner exists to create capacity for the CEO and COO by owning the operational details that surround executive leadership.

This role is responsible for keeping priorities moving, eliminating friction, creating organizational clarity, and ensuring nothing falls through the cracks.

What You’ll Own

Executive Operations

Own the day-to-day operational support for the CEO and COO.

Responsibilities include:

  • Managing complex executive calendars across multiple priorities.
  • Protecting focus time and proactively resolving scheduling conflicts.
  • Coordinating travel, logistics, and executive scheduling.
  • Preparing daily executive briefings.
  • Managing executive priorities across multiple concurrent initiatives.

Executive Communications

Serve as the primary operational partner for executive communication.

Responsibilities include:

  • Managing executive inboxes.
  • Drafting internal and external communications.
  • Following up on outstanding requests and commitments.
  • Prioritizing incoming requests.
  • Handling confidential information with professionalism and discretion.

Meeting Operations

Every meeting should be prepared before it begins and actionable when it ends.

Responsibilities include:

  • Preparing agendas.
  • Gathering supporting materials.
  • Documenting decisions.
  • Tracking action items.
  • Assigning owners.
  • Following up until work is complete.

Nothing should disappear after a meeting.

Operational Coordination

Keep the business organized and moving.

Responsibilities include:

  • Organizing company documentation.
  • Maintaining SOPs and internal processes.
  • Coordinating hiring logistics.
  • Supporting vendor management.
  • Assisting with expense tracking and administrative operations.
  • Tracking recurring deadlines and executive priorities.

Strategic Projects

Support leadership on strategic initiatives that require coordination across multiple teams, stakeholders, and priorities.

Maintain visibility into project status, identify risks early, and ensure momentum continues without constant executive involvement.

Success in This Role

Success isn’t measured by how many tasks you complete.

  • Leadership spends significantly less time coordinating work.

What We’re Looking For

Required:

  • Exceptional written and verbal English.

  • Experience supporting executives, founders, or senior business leaders.
  • Ability to manage multiple priorities simultaneously.
  • Ability to work independently with minimal direction.
  • Ability to maintain confidentiality and professionalism at all times.

Preferred:

  • Startup experience.
  • Consulting experience.
  • Experience supporting founders.
  • Executive Business Partner, Executive Assistant, Founder Associate, Chief of Staff, or Operations experience.
  • Experience building or improving operational systems.
