Your new role

As the key support partner to the Executive Director, you will take ownership of high‑level coordination, communication and executive support activities. Your work will help ensure the division operates effectively and that critical decisions are informed by accurate, timely information.

Your responsibilities will include:

  • Acting as the primary liaison for the Executive Director, managing communication channels and prioritising sensitive and urgent matters.
  • Coordinating complex workflow across the division, ensuring issues are escalated, tracked and resolved promptly.
  • Drafting, reviewing and refining briefing notes, correspondence, reports and corporate materials, delivering polished, accurate documents.
  • Supporting the preparation of divisional reporting, operational updates and governance materials.
  • Engaging confidently with internal and external stakeholders to support decision‑making and collaboration.
  • Building trusted working relationships across diverse teams and multiple locations.
  • Supporting divisional strategic initiatives and contributing to the development of improved administrative systems and processes.
  • Coordinating meeting agendas, action tracking, follow‑ups, and communication flow.

The role requires a steady hand, strategic awareness and the ability to operate with clarity under pressure. In practice, this means you will:

  • Navigate rapidly shifting priorities across multiple programs, ensuring the Executive Director maintains visibility of emerging issues.
  • Balance competing interests while identifying, interpreting and communicating risks or emerging matters in a fast‑paced environment.
  • Shape and manage communication delivery to maintain cohesion across a geographically dispersed team, ensuring tone, clarity and alignment.
  • Recognise interdependencies across projects and workflows, providing timely insights and recommendations.

What you’ll need to succeed

You will bring:

  • Demonstrated experience providing high‑level executive support in a complex or sensitive operating environment.
  • Strong ability to manage confidential communication, assess priorities and drive timely responses.
  • Proven capability in research, analysis and information synthesis to support senior‑level decision-making.
  • Exceptional writing skills with strong attention to detail.
  • Experience building and maintaining relationships across diverse stakeholder groups.
  • Strong analytical, organisational and problem‑solving abilities.
  • Knowledge of government or public administration (highly desirable).
