As the administrative support specialist, you’ll play a crucial role in ensuring patients receive timely and accurate occupational therapy by managing essential backend tasks. If you excel in organization, love keeping systems running smoothly, and want to be part of a mission-driven team, this role is for you!

What You’ll Do:

Input patient details such as name, date of birth, insurance info, and physician’s name into HelloNote.

Verify Medicare coverage and usage using internal systems, escalating complex cases to the billing department.

Upload and manage patient documentation such as scripts and plans of care (POC) to ensure compliance and audit readiness.

Monitor HelloNote’s fax section and organize newly received patient documents.

Track recertification timelines via Excel and handle renewals through HelloNote or follow-up calls with physician offices.

Send manual appointment reminders to patients through HelloNote.

Call doctor’s offices to request missing scripts or care plans.

(Future Potential) Follow up with leads after events using company-provided scripts.

Submit a daily report summarizing completed tasks in a shared document.

Who You’ll Work With:

Collaborate closely with a tight-knit administrative and therapy team working to streamline the behind-the-scenes process of patient care. You’ll regularly interact with internal staff, physician offices, and occasionally prospective clients—all while keeping the workflow organized and efficient.

Who We’re Looking For:

Highly organized: Ability to manage timelines and documentation across multiple patient files.

Detail-oriented: Accuracy in data entry is critical to avoid service or billing disruptions.

Tech-comfortable: Confidence in using basic Excel, and comfortable learning new softwares like HelloNote.

Proactive communication: Friendly and have a good phone etiquette and responsiveness.

Experience: General work experience is required.
