We are looking for a friendly, responsible, and reliable International Student Arrival, Accommodation & Transport Coordinator to provide hands-on support to international students arriving in Malaysia.
Position Overview
The International Student Arrival, Accommodation & Transport Coordinator will be responsible for assisting students from the moment they arrive at the airport through their initial settling-in and university registration process.
This is a hands-on, field-based role involving airport pickups, driving, accommodation assistance, medical appointments, university registration, and general student support.
The ideal candidate should be friendly, patient, responsible, and comfortable interacting with students from different countries and cultural backgrounds.
Driving and on-ground student support are essential parts of this position.
Key Responsibilities :-
Airport Pickup & Arrival Support
- Pick up international students from KLIA / KLIA2 upon arrival.
- Monitor flight arrival times and coordinate pickup arrangements.
- Safely transport students and their luggage to their accommodation.
- Welcome students upon arrival and provide a friendly and professional first experience in Malaysia.
- Assist students with luggage and basic arrival procedures.
- Explain essential information regarding their first few days in Malaysia.
- Assist students with transportation and other immediate needs after arrival.
Accomodation Support
- Assist students in finding and arranging suitable accommodation based on their university location, budget, and requirements.
- Coordinate with accommodation providers, landlords, agents, and property management.
- Accompany students for accommodation viewings when required.
- Assist students with check-in and moving into their accommodation.
- Help students understand basic accommodation procedures, rules, facilities, and nearby services.
- Assist with accommodation-related issues when required.
- Ensure students have suitable accommodation and are comfortable after arrival.
Medical and Visa-Related Support
- Transport and accompany students to EMGS medical screening and approved panel clinics after arrival.
- Assist students in understanding the basic procedures and documents required for their medical check-up.
- Coordinate with the internal team regarding the student’s visa and arrival-related requirements.
University Registration
- Transport and accompany students to their respective universities.
- Assist students with university registration, document submission, and other admission-related procedures.
- Guide students to the relevant university offices, faculties, registration counters, and facilities.
- Help students understand the basic registration process and ensure they complete the required procedures.
- Assist students in becoming familiar with their university and surrounding area.
Student Guidance & General Support
- Provide friendly and professional assistance to students during their first day in Malaysia.
- Guide students on practical matters such as transportation, nearby facilities, shopping areas, banks, clinics, and other essential services.
- Respond to student enquiries and provide assistance through phone call or WhatsApp.
- Help students resolve basic issues and escalate more serious matters to the appropriate Q Study team.
- Maintain a positive, welcoming, and supportive relationship with students.
- Ensure students feel comfortable and properly supported during their transition to Malaysia.
- Handle unexpected situations calmly, professionally, and responsibly.
Transportation and Field Support
- Drive students safely from airports to universities, accommodation, medical check-up and other required locations.
- Travel within Kuala Lumpur, Selangor, and other parts of Malaysia when required.
- Manage transportation schedules according to student arrival times and appointments.
- Ensure the vehicle is clean, safe, and suitable for transporting students and luggage.
- Maintain records of student pickups, transportation, accommodation assistance, and other support provided.
Requirements
- Valid Malaysian driving licence.
- Confident and responsible driver with good knowledge of Malaysian roads.
- Comfortable driving in Kuala Lumpur, Selangor, and other areas of Malaysia.
- Willing to travel and work in the field rather than being limited to office-based duties.
- Willing to handle scheduled airport pickups, including early mornings, evenings, weekends, and public holidays when required.
- Good command of English with strong communication skills.
- Friendly, approachable, patient, and comfortable interacting with international students.
- Strong interpersonal and customer service skills.
- Responsible, punctual, organised, and able to work independently.
- Able to handle multiple student arrangements and schedules.
- Comfortable assisting students with luggage and accompanying them to appointments and university registration.
- Previous experience in driving, hospitality, student services, customer service, accommodation, or related fields is an advantage.
Important Note
This is a hands-on student support and transportation position. Driving, airport pickup, accommodation assistance, medical appointments, and university registration are key responsibilities of the role.
This is not primarily a counselling, admissions, or sales position. The successful candidate should enjoy working directly with students, travelling around Malaysia, driving, and helping students settle into their new environment.
