JOB TITLE: Junior Executive Assistant
AUTHORITY & SUPERVISION:
Reports directly to CEO to support marketing initiatives
JOB DUTIES & RESPONSIBILITIES
Provide comprehensive administrative support to the CEO, including scheduling meetings, managing calendars, coordinating travel arrangements, and organizing appointments.
Act as liaison between CEO and marketing related vendors to help drive marketing initiatives.
Facilitate ordering of branded materials and collateral.
Prepare and maintain various documents, reports, and presentations to track brand awareness, lead generation, website marketing, and SEO management.
Assist the Sales and Customer Service teams as needed.
Participate in ad-hoc projects and initiatives as assigned by the CEO or senior management.
Collaborate with various departments and teams within the organization to facilitate effective communication and streamline processes.
Seek opportunities to enhance your skills and knowledge related to marketing support and the HVAC industry.
QUALIFICATIONS
High school diploma or equivalent required; additional education in office administration or a related field is a plus.
Proven experience (e.g., internships or entry-level positions) in administrative support roles is advantageous, preferably within the HVAC or a related industry.
Marketing support experience is a plus.
Proficient computer skills, including MS Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly adapt to new software and tools.
Strong organizational skills and attention to detail, with the ability to handle multiple tasks and prioritize effectively.
Excellent verbal and written communication skills, including professional phone etiquette.
Demonstrated ability to work collaboratively in a team-oriented environment.
A proactive and positive attitude, with a willingness to learn and take on new challenges.
Knowledge of HVAC terminology and processes is a plus but not required.
