Key Responsibilities
Administrative Oversight: Oversee and ensure that all of the day-to-day processes of the office and team are met. Foster positive, productive and collaborative team culture where each member is encouraged to excel.
Front Desk Management: Warmly greet all patients, families, and visitors as they arrive. Create a friendly, professional first impression that reflects hospitality and care.
Client Service: Answer incoming phone calls and respond to inquiries with patience and clarity. Direct calls or messages to the appropriate staff members, and provide helpful information in a kind and respectful manner.
Appointment Scheduling: Schedule patient appointments and manage the office calendar efficiently. Coordinate with team to ensure smooth client flow throughout the day and communicate any changes or delays with grace and understanding.
Check-In & Records: Assist clients with the check-in and check-out process. Verify and update client information and necessary paperwork while maintaining confidentiality and integrity.
Administrative Support: Maintain an organized reception area and waiting room that is clean, comfortable, and welcoming. Handle clerical tasks such as filing, sorting mail, and managing office supplies inventory. Ensure that all front desk operations are conducted in an orderly and timely fashion.
Professional Atmosphere: Uphold a calm and caring environment, even during busy times. Show compassion to clients who may be anxious or unwell, offering reassurance and support in line with our mission of love and service.
Team Coordination: Work closely with team to communicate client needs and special requests. Foster a spirit of teamwork by being reliable and supportive, helping colleagues whenever possible to enhance overall client care.
Process Improvement: Identify opportunities to improve office workflows and client service. Implement solutions to streamline procedures and enhance the overall client experience.
Mission Engagement: Represent the office’s faith-based values in every interaction. Whether in person or on the phone, treat each individual with kindness, respect, and dignity, demonstrating love and compassion.
Qualifications
Education & Experience: High school diploma or equivalent required. Additional coursework or certification in office administration or health related field is a plus. Prior experience in this field is highly preferred.
Leadership Skills: Lead by setting the example of a “service-first” and “do it right” mindset. When clients feel seen and heard and when things are done right, clients want to come back.
Communication Skills: Excellent verbal and written communication skills. Pleasant and professional phone etiquette is a must. Able to clearly and courteously communicate with clients and team.
Organizational Skills: Strong organizational and multitasking abilities. Capable of managing appointments, messages, and tasks in a timely manner without sacrificing attention to detail.
Technical Proficiency: Proficient with basic office technology — phone system, email, and Microsoft Word is essential, others would be a plus. Experience with scheduling software is helpful. (training will be provided).
Customer Service: Demonstrated ability to provide excellent customer service. Friendly, patient, and attentive when addressing the needs of others. Able to remain calm and helpful under pressure or when confronted with unexpected situations.
Faith Alignment: Comfortable working in a Christian faith-based organization. Willing to uphold the mission and values of our practice in all aspects of work.
