Job Summary

This role is based at our new office in Frankfurt. You will be primarily responsible for end-to-end office administration, alongside supporting day-to-day administrative HR tasks for local employees. You will collaborate remotely with headquarters teams to ensure smooth office daily operations and ensure all admin and HR work complies with German statutory labor regulations and local office policies.

Responsibilities

  1. General Administration
  • Manage daily admin routines including visitor reception, mail and parcel distribution, meeting room booking and setup, general office environment maintenance and other general office support tasks etc.
  • Handle daily office procurement, stationery stock checks, fixed asset registration, expense claim sorting and submission, and monitor routine office expenditure.
  • Liaise with property management and facility vendors for office maintenance; arrange business trips and on-site hospitality for visiting HQ colleagues; facilitate document exchange and cross-team communication between local office and global headquarters.
  • Organize, file and archive all administrative documents following German local office standards, and maintain complete, traceable office records.

2. HR Administrative Support

  • Assist in recruitment activities, including screening resumes for entry-level roles, interview arrangement and coordination, interview reception, and regular interview data feedback to the global HR team.
  • Maintain accurate HR data and orderly personnel filing and support employee onboarding & offboarding procedures as well as other routine HR logistics support tasks.
  • Support routine HR operations, covering attendance check, leave application approval coordination, overtime record sorting, and daily attendance data statistics; follow German local working hour and leave compliance regulations strictly
  • Answer general HR enquiries from local staff, assist with local rollout of global HR policies, and provide regular HR updates to the corporate HR team.
  • Cooperate with local German HR service providers to complete statutory personnel filings and labor compliance procedures as required.

Requirements

  • Bachelor’s degree in business administration, Human Resources, Office Management or related fields.
  • 1-3 years of working experience in office administration or HR admin support roles, familiar with standard office workflows and basic HR administrative processes.
  • Basic understanding of German labor law and local office requirements with solid compliance awareness.
  • Fluent in English and German for daily business communication; proficient in MS Office.
  • High attention to detail, strong confidentiality awareness, excellent organizational and multi-tasking skills to manage dual admin and HR responsibilities efficiently.
  • Good cross-cultural communication skills to work effectively with remote HQ teams.
