Role Description

This is a full-time on-site role for an Office Coordinator, located in Toronto, ON. The Office Coordinator will manage daily office operations, provide administrative support, maintain office equipment, and ensure smooth communication within the organization. Responsibilities include handling phone inquiries, assisting in scheduling and filing, overseeing office supplies, and delivering exceptional customer service to clients and team members.

Qualifications

  • Collaborate with site leadership to support office operations and requirements
  • Coordinate with Accounts Payable to process requisitions, invoices, and purchase orders
  • Manage reporting dashboards and maintain accurate administrative records
  • Organize travel and event logistics, including itineraries, flights, accommodations, catering, and venue arrangements
  • Plan and execute company functions and special events
  • Manage calendars, including scheduling meetings, appointments, and follow-ups
  • Enter and update client and operational information in internal systems, ensuring accuracy and completeness
  • Coordinate onboarding logistics, including IT setup, phone extensions, and workspace arrangements
  • Support employee moves, transitions, and workspace coordination
  • Maintain office supplies, equipment, and inventory levels
  • Support the review of company policies and assist with coordinating HR-related activities as the organization grows
  • Manage employee moves and transitions within the organization.
