Full Job Description
Job Summary
The City of St. Peters is seeking a highly organized and detail-oriented Office Specialist to perform a variety of clerical, administrative, and secretarial duties. This role requires independent judgment in work methods and procedures, as well as handling confidential or sensitive information. The ideal candidate will be proficient in office management tasks, record-keeping, and customer service.
Normal Shift: 40 hours a week, M-F (typically 7:00-3:30p)
Key Responsibilities
Perform diverse clerical and word processing duties, including the preparation of forms, reports, and records.
Compose correspondence and official documents as needed.
Maintain databases, files, and records, ensuring accuracy and accessibility.
Process mail, service requests, and facility inquiries efficiently.
Answer automated phone systems and direct calls appropriately.
Order supplies and manage inventory, ensuring department needs are met.
Handle petty cash accounts and track financial transactions, if required.
Prepare special reports, analyses, and meeting minutes as assigned.
Supervise, coordinate, and assign workflow to staff, when necessary.
Ensure compliance with City safety standards and established procedures.
Minimum Requirements:
Must be a US citizen or lawfully authorized alien worker.
High School graduate or GED certificate equivalent and a minimum of two (2) years of office experience.
Typing proficiency of 40 cwpm.
Working knowledge of word processing, spreadsheet and database software used by the City.
Considerable knowledge of the English language, spelling and grammar.
